About Oxie SK

Oxie Sportklubb is a non-profit organization that was formed in 2013 through a merger of Oxie IF and BK Vången. The club engages many families and children in Oxie and the surrounding areas, as well as from other parts of southwestern Skåne.

We have activities in football, floorball, badminton & pétanque. Of these, football is the primary and by far the largest with over 40 teams in league play distributed across 18 age groups and, at the time of writing, over 700 active members. Thus, we are one of the largest sports clubs in Malmö and its surroundings.

To continue developing as a club and ensure sustainable operations, we are now choosing to strengthen our office. By appointing this role, we create close support for the club manager and a valuable complement to our existing team. The purpose is to increase our capacity and reduce vulnerability in daily operations, as well as improve our coordination. This is an important investment to meet the club's needs and create the best possible conditions for our active members, leaders, and stakeholders moving forward.

We are looking for a Club Coordinator who wants to help develop our association!

As a club coordinator, you are a central support resource in the club's daily work. You are responsible for the club's administration, communication, and internal routines, ensuring that operations run smoothly and our leaders and members receive the best possible support. You contribute structure and order and assist with the coordination of various development initiatives, activities, and events. You work closely with the club manager, youth coordinator, office staff, as well as leaders and the board. You actively work to create good relationships and contribute to a good collaboration and a positive club culture. The role involves varied tasks and requires both independence and flexibility, including some evening and weekend work as needed.

We offer a permanent position where the scope corresponds to 50–80%. The exact scope is determined in consultation with the employer based on the needs of the operations and your availability. The position begins with a 6-month probationary period, which gives both you and us the opportunity to ensure that the role fits and works well before the employment transitions to a permanent position.

Main Responsibilities

Administration:

  • Manage invoicing, grant applications, and simpler financial administration
  • Manage membership registers and licenses in digital systems (FOGIS, SportAdmin & IBIS)
  • Book halls, fields, and facilities in dialogue with the municipality and sections.
  • Be responsible for registrations for leagues and cups.
  • Be responsible for material orders, key management, and other logistics.

Communication:

  • Be responsible for the club's communication and marketing (e.g., via website, email, newsletters, and social media)
  • Be the contact person for members, parents, and external parties for simpler questions.
  • Support communication during the club's events, matches, and tournaments.

Coordination:

  • Coordinate and administer leader training.
  • Support projects, collaborations, sponsorship activities, and events.
  • Coordinate shop/café: sales, purchases, and inventory
  • Contribute to planning, follow-up, and documentation of the club's activities (annual wheel).

Qualifications

To thrive and succeed in the role, we see that you have:

  • Education at least at the high school level, with a focus on administration, economics, and/or communication. Alternatively, equivalent knowledge acquired through work experience.
  • Experience from similar tasks and very good administrative and communicative skills.
  • Good digital skills and work comfortably in relevant administrative systems and tools (e.g., Microsoft Office, Google, Fogis, SportAdmin).
  • Good Swedish in speech and writing.
  • Experience in managing various communication channels for commercial or association-related purposes.

Meritorious

  • Experience working in a non-profit organization.
  • Experience in administrative work, preferably with a focus on communication.
  • Post-secondary education in a relevant field.
  • Driver's license and access to a car.
