We are looking for an Office Manager for a temporary position of about 12 months with a possibility of extension at our Stockholm office. With a creative service mindset, you will help create an environment where both colleagues and visitors feel warmly welcomed, inspired, and seen! What can a day at the office look like?

As an Office Manager, you are our everyday hero - the one who ensures that the office runs smoothly and that everything works behind the scenes. Your days will include:

  • Welcoming visitors and new employees
  • Managing orders of office supplies and maintaining contact with suppliers
  • Collaborating with HR on onboarding and offboarding
  • Ordering technology and managing mobile subscriptions
  • Being a supportive hand at internal events, meetings, and workshops for colleagues and clients
  • Preparing and planning for office breakfasts, snacks, and after-work events
  • Handling incoming and outgoing mail and packages
  • Performing various ad hoc tasks 
  • Coordinating office routines and administrative tasks
  • Having overall responsibility for the office's well-being, functionality, and service

You will be part of our global Facility team and report to our Facility Director Mette Teilmann. You will work from our office on Drottninggatan in Stockholm where about 200 colleagues are located. You will also have regular contact with our other offices in Malmö and Gothenburg.

Who are we looking for?

  • Communicate fluently in Swedish and English, both spoken and written, as we are a global company
  • Have previously worked in an Office Manager, receptionist, or coordination role and enjoy taking responsibility

We are looking for someone who is available from week 39 or 40 and can work full-time during the temporary period. You are flexible, have an exceptional service attitude, and are eager to take initiative. Your previous experience is important, but it is equally crucial that you have the right attitude, structure, and willingness to contribute.

Our application process is quite logical

We skip the personal letter and instead start with tests at an early stage in the process. Why? Because we want to see potential, team fit, and recruit blindly as far as possible to further increase diversity within us. Therefore, you will perform a test with two parts, a personality test of about 15 minutes and a logical test of about 15-20 minutes. We always conduct background checks and take 1-2 references before employment.
