About the Assignment

We are now looking for a program coordinator/administrator for one of our clients.

The assignment involves work within one or more area and project programs in one of the client's larger divisions. The program coordinator will, with great personal responsibility and initiative, support program managers and lead project managers and contribute to ensuring that the program's administrative work is carried out efficiently.

The nature of the assignment is service-related, administrative, supportive, and coordinating. As a program coordinator, you have an important responsibility to support and relieve the program management, primarily with administrative tasks. The assignment involves significant personal responsibility, so the ability to independently plan and execute your work and make decisions within the role's area of responsibility is essential. You feel comfortable drafting documents, administering, and working in several different systems, and can structure your own working methods to maintain order and clarity in the program's documentation throughout the program period, as well as support the projects within the program in keeping their documentation organized.

The program coordinator is also an important part and information bearer in the program and is responsible for the program's internal communication. Part of the role is to ensure and assist in keeping the program's intranet pages updated.

In addition to being a support in the program, the program coordinator is part of a team of other program coordinators in the line organization that further develops the generic support for the program operations.

Your Tasks Include, But Are Not Limited To:

  • With great personal responsibility and initiative, support program managers and lead project managers regarding the program's internal communication
  • Be responsible for administrative tasks within the program (e.g., preparing presentations for steering groups, writing minutes, following up on actions, decision logs, scheduling meetings, preparing meeting materials, record-keeping)
  • Support program managers and lead project managers in updating documents such as program plans, decision materials, etc.
  • Ensure that the program documents according to the client's requirements and routines
  • Ensure that reporting from and within the program is done according to the client's requirements and routines
  • Ensure that deviations in the projects regarding time, cost, and results are reported and followed up to ensure they are addressed
  • Establish and maintain program libraries and support systems
  • Support the program manager/management in planning, follow-up, timelines, purchases, resources, risk management, and other issues that arise within the program
  • Be responsible for the implementation within the program regarding the follow-up and reporting of agreed goals and key figures, and be proactive regarding the implementation of improvement measures and efficiency

For the Role, You Should Have the Following Education:

  • Academic degree in, for example, mechanical engineering, energy, civil engineering, or infrastructure.

Competence and Experience:

  • At least 1 year of work experience in a similar role, such as program and project administrator, project engineer, or coordinator in programs
  • At least 2 years of work experience with MS Office programs such as Excel, Word, and PowerPoint.

In Addition to the Above Requirements, It Is Highly Meritorious If You Have:

  • Higher education of at least 180 credits in, for example, mechanical engineering, energy, civil engineering, or infrastructure.
  • 2 years of experience in a supportive/similar role for projects, programs, or lines with actors in the public sector
  • 2 years of experience with project management models (e.g., PPS, PMI, Prince) or project management methodology

Placement and Scope

At the client's office in Sundbyberg with the possibility of remote work of about 50%. The assignment has a scope of 100% and is a consulting position through Everlight.
