The Role of Administrative Coordinator

In the role of Administrative Coordinator, you will handle grant applications and reports, provide support to applicants, and ensure that all documents are submitted. You will also be responsible for sending decision notifications, reminding about reports, and preparing for internal preparations.

You will work on developing grant forms and collecting statistics to improve grant giving and follow up on approved projects. Additionally, you will contribute to developing and simplifying the systems we work with, such as the connection between our grant portal ABOU and Evolution, as well as the connection between ABOU and Excel.

As support for internal projects, you will assist with budgeting and reporting, and act as a contact person for the finance function. You will also provide internal support in using systems such as Evolution, Heroma, and Stratsys. Other tasks include responsibility for filing, registrations for various events, and performing simpler administrative tasks as needed.

Your Future Workplace

You will be part of the Regional Development department where we coordinate and lead the work with regional development on both state and regional assignments. We have strategists, project managers, coordinators, administrators, and managers working with sustainability, infrastructure, business, skills supply, tourism, culture, rural development, and digitalization. We collaborate with many stakeholders in Jönköping County to achieve the goal of becoming Sweden's most sustainable, attractive, and accessible region.

The position is located in the Cultural Development section, and your immediate supervisor will be the Cultural Development Manager. The section includes activities such as handicrafts, library development, visual arts, and promoting activities in the fields of dance, film, literature, children and youth, visual arts, contemporary circus, music, and theater. The section has a special mission to work with freedom of expression issues, which is partly done through our city of refuge work. Based on the regional cultural plan, the Cultural Development section aims to strengthen and develop the conditions for art and culture in Jönköping County.

Your Profile

We are looking for someone with a relevant university degree, for example in administration, economics, or project coordination, or an equivalent post-secondary education. You have experience in case handling and case preparation, preferably in the public sector, as well as a good economic understanding and experience in budget management. Experience in grant administration, project support, and coordination within specified time frames, as well as working in politically governed organizations, is meritorious, as is experience in the cultural sector.

To thrive in this role, we see that you are self-driven and take responsibility for your tasks. You structure your work and drive processes forward on your own. You are also a person with good collaboration skills, who enjoys working together with others and handles communication and conflicts constructively. You are quality-conscious and meticulous, with the ability to maintain high standards and ensure that both goals and requirements are met. Furthermore, you are structured and have the ability to plan, organize, and prioritize your work effectively to meet deadlines and deliver high quality.
