Case Coordinator Position within the Social Administration
The position is located within the Social Administration, which is one of eight administrations in Linköping Municipality. The Social Administration is responsible for authority exercise, ordering services, and self-management in the areas of individual and family care, LSS, and social psychiatry. Your Responsibilities
The positions as case coordinators involve being the case controller of the operations. As a case coordinator, you are expected to take responsibility for your work and drive your processes forward.
We are looking for two case coordinators, one for our diary and one for our archive, and you will have close collaboration with each other and with your other colleagues.
In our archive, you will have the role of archive coordinator and be part of a team with three administrators/archive managers working in the social administration's local and intermediate archives. Together, you will be responsible for the daily archive operations to maintain good archival care. The work includes handling requests for public documents, including confidentiality assessments, preparing deliveries to the municipal city archive, working with information management plans, conducting retention investigations, and providing support, guidance, and answering questions from employees regarding information management. The assignment also includes training employees in archival issues and assisting the operations in their transition to more digital working methods, including leading the work with the transition to e-archives where you collaborate with other professionals within the administration. Other administrative tasks included in the role of case coordinator also occur.
In our diary, you will have the role of registrar and be part of a team with two administrators/registrars. You will work with your colleagues to ensure that the social administration handles public documents correctly. This means registration, diary management, and inventory in the authority's case and document management system, as well as providing documents when needed. You will, among other things, monitor email inboxes, handle incoming mail, and diary both incoming and created documents – both public and confidential, as well as archiving. In addition, you have an important role in supporting case handlers in questions regarding the release of public documents and other case management. You will also be involved in training individual case handlers and groups in the area. Other administrative tasks included in the role of case coordinator also occur.
Your Workplace
The Social Administration is a new administration that was established in January 2024. Approximately 1500 people work at the Social Administration, and there are about 60 managers.
The administration's activities are divided into four departments as well as cross-administrative operational support. The cross-administrative support consists of units for finance, HR, communication, premises and security, administration, and the unit for quality, development, and digitization. The organization of these support functions is under review. Currently, case coordinators will be affiliated with the finance unit, in the administrative support unit. In administrative support, we have one unit manager, 17 employees, and one unit coordinator who leads the daily operational work. We are tasked with providing administrative support to the entire administration. In addition to the description of the diary and archive, we staff a reception daily and have other administrative tasks.
The unit will move to newly built premises in central Linköping in the autumn of 2025.
The working hours are scheduled for weekdays during office hours, and we apply a flexitime agreement to give you greater flexibility. There is also the possibility of remote work.
Who You Are
We are looking for someone with post-secondary education in areas such as administration, law, public administration, political science, or archival science. It is advantageous if you have previous experience in public operations and work with public access and confidentiality as well as diary management and/or archiving depending on which position you are applying for. In the position, you will act as administrative support to the administration and come into contact with citizens via functional mailboxes, which requires good knowledge of Swedish both orally and in writing. You handle digital tools and learn new systems easily.
