About the job

The role involves qualified administrative work focusing on supporting the unit's case officers with quality assurance, internal governance and control, as well as financial administration related to aid initiatives that Sida carries out through external partners. You will also work on monitoring the unit's ongoing costs and assist with some other administration related to the unit's internal work. The role involves close collaboration within your own unit where you are expected to contribute to the unit-wide collaboration. You will also collaborate with colleagues in other departments and at Sida as a whole. You will also participate in Sida's global network for administrators for shared learning and exchanges with other administrators working in the same function worldwide.

You will work at our office in Rissne, Sundbyberg.

Responsibilities

Main responsibilities.

Some minor differences may occur depending on which unit you work in.

  • Ongoing financial administration such as reviewing payments to partners and managing invoices.
  • Assist the unit manager with financial monitoring of both the aid budget and the budget for internal costs.
  • Support case officers in managing aid initiatives in Sida's various IT systems (e.g., initiative management systems and documents, finance and invoicing systems).
  • Support case officers in connection with procurements and orders from framework agreements.
  • Together with the controller, ensure quality assurance of decisions regarding support to partners.
  • Participate in department-wide work on internal governance and control.
  • Support internal and external communication, including handling incoming emails from the public and administering the unit's/department's collaboration space on Sida's intranet.
  • Support the introduction of new employees in the unit/department, e.g., handling IT matters, as well as general administrative and coordinating tasks.
  • Support in planning and organizing planning days and seminars.
  • Write minutes at meetings, perform archiving.
  • Assist the unit manager with tasks related to personnel administration and contribute to other administrative and coordinating tasks that may occur in the unit/department.

Qualifications

Education

  • High school diploma, preferably in a relevant field, e.g., administration and/or economics or equivalent.

Language

  • Very good knowledge of Swedish and English.
  • For placement in the Latin America unit, good knowledge of Spanish is also required.

Work experience and skills

  • Good experience of independent administrative work.
  • Good practical experience in accounting and/or financial monitoring.
  • Good practical experience of financial, accounting, electronic invoicing, and document and case management systems.
  • Good experience of digital work tools and systems such as Outlook and the Office suite (including Excel). Experience with SharePoint is a plus.

Functional competencies/abilities:

We are looking for someone who has a genuine interest in working long-term in an administrative role at Sida.

For the role, it is important to have a very good ability to organize, document, and follow up on your own work. Being able to work accurately and structured towards set goals and given time frames is crucial for success in the role. Furthermore, you are service-minded and enjoy providing support to others. Having good communication and pedagogical skills is also important in a role that involves many contacts and collaborations within and outside the unit.

For this role, you need to:

  • Be able to lead yourself and take responsibility for your own development.
  • Take initiative and be proactive.
  • Have the ability to handle stress, uncertainty, and risks.
  • Be able to collaborate in an intercultural context and in different constellations.
  • Be good at collaborating and creating trusting relationships.

  • Be able to translate experiences and lessons into action.

For this role, it is an advantage if you have

  • Experience working in an administrative role at a Swedish authority or within international development cooperation.

Good to know

The positions are permanent with immediate start. A probationary period applies.

In addition, there are positions with special fixed-term employment until further notice, but for no longer than 6 months.

Sida offers the possibility of remote work to some extent if it works for the organization.
