About the role and us
As an administrator with responsibilities including executive support within Meal Service Varberg, you play a central role in supporting managers and ensuring efficient daily operations. You contribute to structure, follow-up, and coordination, collaborating closely with managers, team coordinators, employees, and other functions, with the goal of delivering high-quality service to patients, guests, and partners. The vision, values, and governing documents of Meal Service form the foundation of this assignment.
The work is varied and includes both administrative support and coordinating tasks. You support managers in matters concerning staffing, planning, follow-up, and daily operations.
A large part of the assignment involves scheduling and staffing, where you support the department manager in the scheduling system Tessa and are responsible for administering schedules based on operational needs. You register resources, ensure optimized staffing, create daily reports linked to sick and fit-to-work notifications, and prepare schedules for periods such as summer holidays and holidays. You also contribute to the development of scheduling processes and resource planning, working with both short-term and long-term staffing plans.
You have broad administrative responsibilities, handling documents, functional email inboxes, catalog updates, and meeting administration. You also work with error reports, statistical follow-ups, and other administrative tasks. The role includes administration during onboarding and offboarding of employment, ensuring that system access, IT, keys, and permissions are in order.
The work includes financial administration such as orders, invoice handling, month-end closing, and delivery approval in Agresso, as well as follow-up. You also contribute to the development of routines and working methods. The role involves customer contact related to catering, where you handle orders in Faciliate, communicate with customers, and ensure that work orders are handled correctly.
Qualifications
We are looking for you with at least a high school education and several years of experience in qualified administrative work. Experience with scheduling and staffing planning is required, as is the ability to work independently even when conditions change.
You have very good system proficiency and work comfortably with several digital tools, with an easy ability to learn new systems. Experience with Tessa, Agresso, or similar systems is meritorious, as is knowledge of labor law related to scheduling and staffing. Good knowledge of Swedish, both spoken and written, and a valid driver's license (Category B) are required.
As a person, you work in a structured, careful, and quality-conscious manner, with good ability to plan, prioritize, and handle multiple tasks simultaneously. Your working style is characterized by independence, responsibility, and self-drive. You have a service-oriented and professional attitude, are clear in your communication, and confident in making decisions. You have good collaboration skills while also thriving in independent work.
