Description

The position is located at the Committee and Case Handling Unit within the Municipal Executive Board Administration in Gislaved Municipality. The unit has a central task to ensure that the municipality's democratic decision-making processes, case handling, and information management function in a legally secure, efficient, and accessible manner.

We are responsible for supporting the municipality's committees throughout the entire case process – from planning to dispatch – as well as registering and handling incoming and outgoing documents. The unit also works on developing governing documents such as information management plans and classification structures, and provides support to the administrations in matters concerning public access, confidentiality, and data protection.

Registrars, committee secretaries, archivists, and development managers work closely together here. We combine operational deliveries with long-term development and serve as a key support function for the entire municipal group.

Job Responsibilities

As a Registrar at Gislaved Municipality, you are a key person in ensuring order, traceability, and legal security in the municipality's information management. Your assignment includes both operational and advisory parts where you support the operations in matters concerning public access, confidentiality, and document management.

You will, among other things, work with:

  • Diary registration and document management in the municipality's case handling system (Castor).
  • Registration and classification of documents and cases according to current legislation and governing documents. Handling of incoming email and physical mail, as well as monitoring functional mailboxes.
  • Supporting committee administration with, for example, summonses, dispatch of decisions, and minute writing.
  • Assessing confidentiality and the release of public documents.
  • Training, advising, and supporting the operations in the application of information management plans, the principle of public access, and the Data Protection Regulation (GDPR).
  • Collaboration and contact with colleagues at the unit, as well as with other support functions, committee secretaries, and employees at other administrations.

Qualifications

We are looking for you who have:

  • Post-secondary education with a focus on public administration, information management, or document control. The education should have provided you with good knowledge of regulations, processes, and systems related to the public sector and information management.
  • Very good administrative skills and experience working in a structured manner.
  • Good knowledge of the Public Access to Information and Secrecy Act, the Administrative Procedure Act, and the Data Protection Regulation (GDPR).
  • Experience with diary registration and case handling, preferably from the public sector.
  • Very good digital competence and experience working in various system support environments.
  • Very good ability to express yourself in Swedish, both orally and in writing.
  • It is an advantage if you have worked in case handling systems such as Castor, as well as archive or document management systems like Visual Arkiv, Ciceron, W3D3, or equivalent.
