As the Finance and Office Manager at Advokatbyrån Familj & Försvar, you will be the hub of the operation, responsible for finance, administration, and the daily running of the office. You will support lawyers and management and play a key role in contacting clients, courts, and other external parties.

About the role of Finance and Office Manager

As the Finance and Office Manager, you will have a central role in the business, ensuring that daily operations run smoothly. You will be a key support to the firm's lawyers and management while also serving as a natural point of contact for clients, courts, and other external parties.

The role combines finance, administration, office management, and coordination. You will have an important function in the business and contribute to creating structure, good service, and efficient working methods.

Examples of responsibilities

  • Responsible for the office's daily administration and operations
  • Handle incoming calls, emails, and mail
  • Maintain daily contact with clients, courts, and other external parties via phone and email
  • Responsible for booking client meetings and ongoing coordination of calendar bookings
  • Handle ongoing invoicing to clients as well as follow-up and monitoring of unpaid invoices
  • Manage supplier invoices, payments, accounts receivable, and receipts
  • Handle ongoing financial administration in Fortnox and other relevant systems
  • Coordinate contact with external accounting firms regarding, among other things, payroll, VAT, and financial statements
  • Assist lawyers with document management, bookings, and administrative support in cases
  • Assist the CEO with administrative and business-related matters
  • Support and introduce the firm's legal interns into administrative routines and working methods
  • Responsible for purchasing, supplier contacts, and office services

Your background, experience, and skills

We are looking for you who have experience in a broad administrative role and who enjoy combining finance, service, and coordination. Perhaps you currently work as an administrator, office manager, office manager, legal assistant, or in another coordinating function where you are used to taking significant personal responsibility.

As a person, you are structured, self-motivated, and unpretentious. You like to help where needed and thrive in a role where workdays vary. Since you will have many contact surfaces, we see that you are service-oriented, communicative, and comfortable with telephony and client contact.

The role involves daily contact with clients, courts, and other external parties, which means you need to enjoy working in an outward-facing role where service and availability are a natural part of everyday life. You have an easy way of building trust, treat people professionally, and enjoy being the person who helps others find their way.

To succeed in the role, we also believe you have the ability to prioritize between different tasks, work carefully, and appreciate being the person who makes the business run.

We would like you to have:

  • At least three years of experience in administration, coordination, or similar work
  • Experience in financial administration such as invoicing, supplier invoices, payments, and accounts receivable
  • Good system familiarity and very good knowledge of Microsoft Office
  • Experience with Fortnox or similar financial systems
  • Very good knowledge of Swedish and English, both spoken and written
  • Experience from a law firm, court, or other professional service activity is an advantage
