About the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will become safer and more secure for everyone. We are the agency responsible for prisons, probation, remand prisons, and client transport.

Probation Southern Norrland covers the counties of Dalarna, Gävleborg, and Jämtland, with staffed offices in Östersund, Hudiksvall, Gävle, and Falun. Probation conducts background investigations and supervises clients who are on parole, under protective supervision, sentenced to community service, or monitored via ankle bracelets/intensive supervision. Probation also works with various treatment programs. Within Probation Southern Norrland, approximately 130 employees and nine managers work to reduce client recidivism and thereby increase safety in society.

The Gävle Probation Office is located in central Gävle, and its catchment area includes the municipalities of Gävle, Hofors, Ockelbo, and Sandviken. The office is led by two probation inspectors and is divided into three different teams, as well as a program group and two administrators. Job Description

As an administrator, you will be part of a group of two employees, primarily responsible for common administrative tasks. You will be responsible for archives, the diary system, mail handling, orders, financial administration, and registration in the client administrative systems. This may include, for example, the registration and dispatch of decisions and background investigations based on probation's role in the legal process.

The work also includes staffing the reception, which means playing an important role in preventive security work by being responsible for the office's access control to the visitation department. You are responsible for verifying the client's identity, checking the case, and clarifying the client's permission before the person is allowed into our premises. This is to ensure, as much as possible, that unknown or impaired individuals are not admitted to our facilities.

You represent the Swedish Prison and Probation Service with a trustworthy and correct demeanor towards clients, partners, and the public. The tasks require that you can ensure confidentiality is maintained while also having knowledge of the principle of public access.

The position is a fixed-term appointment for 1 year, starting from an agreed start date.

Working hours are during the day.

Some work may take place during extended opening hours until 18:00 one day every other week.

Qualifications

The work as an administrator is a service function, which requires you to be service-oriented. Furthermore, you have the ability to plan, organize, and prioritize work effectively so that important tasks are maintained. You are also flexible and thus easily adapt to changed circumstances and see solutions in emerging situations. Your ability to collaborate is very good. We assume that you have good IT skills and a well-developed administrative capability.

We are looking for someone who has:

• Upper secondary school education in the form of final grades or a high school diploma, preferably with an administrative or economic focus, or alternatively other education combined with relevant experience that the employer deems equivalent
• Good knowledge of the Swedish language in both speech and writing

The following are also meritorious:

• Experience in administrative work from public administration
• Experience with diary registration
• Experience in administrative work within Probation
• Experience with client contact
