About the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. We are the agency responsible for prisons, probation, remand prisons, and client transport.

The Unit for the Prison and Probation Service Service Center (KSC) is part of the headquarters and belongs to the Department for Prisons, Remand Prisons, and Probation. It provides support to the entire agency within economics and personnel administrative processes, as well as managing and developing them.

The position is located within the Section for Economic Administration. The section is responsible for supplier invoices, purchasing support, e-commerce, customer invoices, inmate funds, payment flows, ongoing accounting, fixed asset accounting, operational accounting, and year-end accounts.

Job Description

In your role as a case handler, you will support and guide the Swedish Prison and Probation Service's ordering organization in procurement and contract matters. You will be responsible for independently and with quality providing support in matters regarding purchases and orders from the operations. As needed, you will also carry out orders, calls, and purchases through ordering from existing contracts, direct procurement, and renewed competitive tendering up to 100,000 SEK. There are also instances where we perform direct procurements and renewed competitive tendering over 100,000 SEK within certain areas or after dialogue with the purchasing unit.

You will conduct training for designated ordering organizations and new managers, answer questions, and help them become confident in their roles regarding orders and purchases. Additionally, you will work with the ordering flow, logistics flow, and redistribution of costs for workwear as well as inmate clothing. The assignment also includes continuously working with the development and efficiency improvement of these current processes.

The role may, if necessary, include other tasks within the section, such as acting as a backup for the section's support phone.

Qualifications

Furthermore, you have a good understanding of people's different prerequisites for absorbing knowledge and have the ability to adapt the way you convey your message to the recipient.

We are looking for someone who has:

  • Higher Vocational Education (YH) in purchasing, or alternatively other education in purchasing combined with work experience that the Swedish Prison and Probation Service deems relevant.
  • Experience in purchasing work
  • Experience in teaching others and conducting training
  • Ability to express yourself well in writing and speech in Swedish.

The following is also meritorious:

  • Education within the Public Procurement Act (LOU)
  • Experience with the purchasing system Visma Proceedo
  • Experience with e-commerce and supplier management
  • Good knowledge of Microsoft Office
