Are you a skilled and ambitious administrator with experience as an executive assistant? We are looking for you who are passionate about creating order and efficiency in a dynamic work environment.

We are now looking for you who want to support the Chairperson of TCO in a central and varied role during a one-year parental leave cover, starting no later than October 1, 2026, and ending September 1, 2027.

About TCO

TCO is a non-partisan central organization that unites 12 trade unions with over 1.2 million members. As an advocacy organization, TCO works for good conditions in working life for the country's employees. TCO's task is to be a driving force for developing and influencing politics and debate, based on the members of its affiliated unions. Approximately 40 employees work at the secretariat.

About the role of Chairperson Assistant & Coordinator 💜

As an assistant to the Chairperson of TCO, you will have a central, responsible, and varied role in a warm and welcoming organization. You provide practical service to facilitate daily life primarily for the Chairperson but also for the secretariat. This means you have overall responsibility for the calendar and the Chairperson's schedule. You become an important contact point for the organization and external contacts, making decisions on which contexts the Chairperson of TCO should participate in.

Your role also includes assisting the Secretary General, being responsible for the registry, and providing administrative and coordinating support for the entire secretariat. You will play an important role in internal communication and in working to streamline and develop administrative processes, with a curiosity about how modern tools can facilitate work.

You will be part of the secretariat team, where together with the Head of Secretariat, the Head of Social Policy, and the Press Secretary, you are responsible for the overall management support. You report to the Head of Secretariat and have regular check-ins with the Chairperson and others within the management support team.

Your primary tasks

  • Overall responsibility for the calendar and planning of the Chairperson's time

  • Administer the Chairperson's meetings and ensure relevant background material is available

  • Meeting bookings, travel planning, and travel orders

  • Handling the Chairperson's incoming email and other mail processing

  • Administrative responsibility for various internal meetings, e.g., board meetings

  • Internal communication – you are, for example, one of five editors for the intranet

  • Registry officer, minute taking

  • Ensure that the secretariat's processes and administrative routines for management support are efficient

  • Convener for the network of secretaries within TCO unions

  • Challenge working methods with the help of digital tools and provide improvement proposals as needed

Have a few years of experience in independent administrative work where you have had a coordinating role and are accustomed to supporting multiple stakeholders internally and externally. You naturally have a good sense of service and enjoy facilitating things for others. You approach your tasks with enthusiasm and great commitment, contributing to a good atmosphere and spreading joy and energy to your colleagues. You are unpretentious and are more than willing to take on tasks or projects that need attention. You gladly offer suggestions if you see potential for improvement to streamline and facilitate daily operations.

You have a good ability to balance long-term work with ad hoc matters and can independently, with some guidance, prioritize your tasks in a structured manner.

To succeed and thrive in this role, we believe you have the following experience and qualifications:

Qualifications:

  • A few years of experience in similar assignments with qualified administrative tasks

  • Very good communication skills

  • Very good coordination skills

  • Fluent Swedish in speech and writing, as well as basic knowledge of English

  • Good knowledge of the Office package (Outlook, Word, Teams)

Meritorious

  • It is meritorious to have worked as an independent administrative support to a top-level executive

  • It is meritorious to have experience of efficient administrative processes supported by modern IT technical work tools

  • It is meritorious if you have experience of working in a similar role in an ideologically driven, political, or union activity

  • It is meritorious with basic knowledge of OneNote and Microsoft Excel

About the scope of the position

This is a consultancy assignment where you will be employed by us at The Place. The position is full-time (37.75h/week). Start date according to agreement, but no later than October 1, 2026. You will be based at the office on Linnégatan 14 in central Stockholm, with the possibility to work a couple of days remotely per week. Trust hours Mon-Fri are arranged based on office hours.
