RESPONSIBILITIES

We are now looking for a Registrar/Archive Assistant. The position is located at the Secretariat Department within the Municipal Executive Board Administration.

The role is an important support function, and as a natural part of the work, it involves contact with the municipality's residents via both email and telephone. Together with your colleagues at the Secretariat Department, you contribute to creating efficient and legally secure case handling. You become a key person who ensures that information is handled in a structured and transparent manner.

Your responsibilities include:

  • Registration and case handling.
  • Handling requests for public documents and making confidentiality assessments.
  • Responsibility for incoming mail and email via functional mailboxes.
  • Supporting case handlers and other employees regarding document management and the principle of public access.
  • Reviewing and structuring existing physical archives.
  • Creating archive inventories.
  • Supporting and assisting all departments with archiving and disposal.

The role also includes responsibility for, and driving the work towards, the eventual implementation of an electronic archive system in the municipality.

QUALIFICATIONS

We are looking for you who have a post-secondary education in administration/archives/public administration or work experience that the employer considers relevant for the position. The position requires good knowledge of Swedish, both spoken and written. Knowledge of the Local Government Act, the Archives Act, and the Public Access to Information and Secrecy Act, as well as previous experience from working in public administration, are meritorious.

As a person, you are flexible, structured, meticulous, and service-oriented. You are self-initiating and able to prioritize among your tasks. You understand that your daily work is affected by incoming inquiries and the department's need for registration. You thrive in having a central role and collaborating with others within and outside the department, which requires good cooperation skills and an interest and willingness to help others.

Salary: Monthly salary.
Employment type: Permanent position.
Duration: Start date: 2026-10-01.
Working hours: Daytime.
