Workplace Description
At the Department of Physics, over 400 people work across seven research divisions and several major center formations. The research at the department covers a broad spectrum of modern physics. The department office consists of approximately 35 people who support the core activities with services in areas such as administration, finance, and communication.
We are now looking for a temporary Research Administrator with the task of working with undergraduate study administration and supporting the department's research divisions.
Tasks and Responsibilities
The temporary position offers varied and stimulating work with personal responsibility, a high degree of service, and teamwork. Your main contact will be with the teachers and operations you support, but you will also be part of a working group with other administrators with similar tasks, where you share common processes and assist each other. The department's international environment means many English-speaking students, doctoral candidates, employees, and guests. You are responsible for ensuring that work is carried out in a careful and legally secure manner in accordance with current regulations.
Educational administration involves providing service to both students and teachers in connection with admissions, course starts, and examinations. You work in systems such as Ladok, Time Edit, and Canvas. The amount of work varies throughout the year, with periods of high workload during the start of terms and examination periods, and calmer periods in between.
The work as support for the department's research divisions includes operational support and services, including travel expense reports, travel bookings, and various administrative tasks related to doctoral defenses, orders, and filing. You work in systems such as Lucat, Primula, and Proceedo.
The tasks consist of operational service with administrative duties, including:
- Assist teachers in planning and organizing examinations
- Book and lead writing guards and handle some administration of their employment
- Handling registrations, grade reporting, credit transfers, and certificates, etc., in Ladok
- Administration of the subjects' Canvas spaces
- Information to students and the public, in both Swedish and English
- Administrative support to teachers and program directors
- Archive and file materials in W3D3
- Handling travel expense reports and travel bookings
- LUCAT administration
- Assist in handling permissions in access control systems and entry to premises
- Other administrative tasks such as room bookings, purchasing office supplies, coffee orders, etc.
- Economic-related tasks such as accounting entries, incoming invoices, etc., may occur
Qualifications
We place great importance on your personal qualities. You are service-oriented and have a positive attitude. You need to be able to work independently and structure, plan, and manage your workload and prioritize in ongoing work. You are meticulous. It is important that you are stress-resistant as the work pace is sometimes high.
We also look for someone who has an interest in developing and streamlining work, where our support to the core operations is always paramount.
Requirements for the position are:
- Upper secondary education with an economic focus
- Experience in educational administrative work within a university or college
- Experience in administrative support and service work within a university or college
- Experience working in administrative systems
- Very good ability to express oneself orally and in writing in both Swedish and English
Merits for the position are:
- Experience with the following administrative systems: LUCAT, TimeEdit, W3D3, Primula, Lupin, Canvas, and Raindance
- Good experience working in Office 365

The Department of Physics is one of Lund University's largest departments with approximately 400 employees. The department is shared by the Faculty of Science and the Faculty of Engineering (LTH).
