Our client is an internationally active player within the Swedish workshop and manufacturing industry. The company specializes in the design, development, and production of customized machines and advanced process equipment. The products are delivered to demanding industries with strict regulatory requirements, including the pharmaceutical, chemical, and food sectors. In the role of Purchasing and Documentation Administrator, you will step into a central function to cover a parental leave. The position involves significant independent responsibility where you are expected to drive your daily processes autonomously. Since the role requires gathering information from various departments, we are looking for someone with professional integrity and a natural ability to set requirements and follow up on deadlines.

Responsibilities

The role is a combination of purchasing administration and technical documentation management, where you act as a bridge between sales, suppliers, and production. Your main areas of responsibility will be purchasing, documentation, and material certificates.

  • Compile customer-specific documentation for unique products
  • Execute purchases of components such as motors and seals based on quotations
  • Manage and compile material certificate lists based on batch numbers
  • Compare certificates with drawings to ensure technical compliance
  • Follow up on deliveries and maintain ongoing contact with suppliers
  • Create and update articles in the business system
  • Participate in coordination meetings to drive the purchasing process forward

We are looking for someone who has

  • Experience in administrative work, preferably within purchasing documentation and document management
  • Good knowledge of Swedish, both spoken and written
  • A structured work approach with the ability to set requirements in processes

It is an advantage if you have

  • Knowledge of ISO certification
  • Experience working with material certificates
  • Education in purchasing, logistics, or similar
  • Technical understanding, preferably for electric motors or similar
