About the role and your responsibilities

As a high school secretary, you play a key role providing qualified support to the school management and operations. You work in close collaboration with the school leadership, contributing to handling personnel-related issues in a legally secure, structured, and efficient manner. The role also involves collaboration with the administration's HR function, payroll unit, and other support functions.

Your responsibilities include, but are not limited to:

• processing cases related to hiring and termination of employment
• coordinating and managing staff scheduling
• monitoring and processing matters regarding priority rights and conversion of employment contracts
• supporting the school management in competency-based recruitment of staff and contributing to the onboarding of new employees
• supporting the school management with basic employment law issues such as employment terms, working hours, leave, absence, and salaries
• contributing to budget work and economic follow-up of personnel
• participating in the school's communication and marketing efforts via digital channels and social media

We are looking for you who

• hold an academic degree of at least 180 credits that the employer deems relevant for the position
• have work experience with the responsibilities mentioned above
• have good knowledge of basic employment law issues such as employment terms, working hours, leave, absence, salaries, priority rights, and conversion
• have experience with competency-based recruitment
• have very good command of the Swedish language, both spoken and written, as well as strong communication skills
• have good digital competence and experience working with and adopting digital systems

It is meritorious if you

• have basic economic knowledge and experience with budgeting
• have experience with the responsibilities mentioned above within the school sector
• have good knowledge of regulations and laws in the school sector
• have experience with HR systems, such as WinLas and Visma Personec P, as well as recruitment tools like Varbi or similar. Experience with Raindance is also highly positive

You have good collaboration skills and are skilled at creating and maintaining good relationships. The role involves many people coming to you with questions, which requires you to be service-oriented, communicative, and solution-focused. You are receptive and able to read situations and contexts.

About the workplace

Just east of Lund's center lies Gymnasieskolan Vipan, Lund's only municipal vocational high school.

Vipan has approximately 1,300 students distributed across eight different vocational programs, Adapted Upper Secondary School, and Introductory Programs.

Gymnasieskolan Vipan is in a dynamic phase of development. The school and the entire area around it are being renewed, with new construction and renovations underway for an exciting future.
