Do you want meaningful tasks that make a difference in people's lives? Welcome to a municipality that is far from mediocre!
The Urban Development Administration manages and develops both the city and the countryside within the municipality. We have the overall responsibility for planning and creating the physical, legal, and commercial conditions for a secure and good living environment in Botkyrka. Our 125 employees work to enable good housing and an attractive local environment, regardless of where you are in life.
The Position and Responsibilities
Do you want to work close to the political process and contribute to creating conditions for legally secure and well-functioning decisions? We are now looking for a Council Secretary for the Urban Development Committee and the Environmental and Health Protection Committee in Botkyrka Municipality.
As a Council Secretary, you play a central role in the political process and act as a crucial link between the administrative organization and politics. You are responsible for planning, coordinating, and ensuring the quality of the entire committee process – from preparation before meetings to follow-up after decisions. In this role, you work both operationally and with a focus on development. You ensure that cases maintain high quality, that processes are legally secure, and that work complies with current legislation and routines.
Your main responsibilities:
- Plan, coordinate, and lead the committee process from preparation to post-processing.
- Review official reports and ensure quality and correct case handling.
- Draft summonses, be responsible for minute-taking during meetings, and finalize minutes.
- Support managers, case handlers, and elected officials in matters concerning the political process.
- Collaborate with administrative leadership, committee members, and other functions within the municipality.
- Contribute to the development of efficient and legally secure administrative processes, in close cooperation with the registrar.
- Contribute to increased clarity and transparency in the municipality's decision-making processes.
- Develop routines and common working methods for case handling.
- Coordinate and contribute to the development of steering and support documents.
What We Offer You
You will be part of the administrative unit where you will join our dedicated team of 11 employees, who are responsible for, among other things, the registry, data protection, and administration regarding building permits, planning, and projects.
We offer a workplace where trust, professionalism, and commitment to the democratic mission permeate everyday life. You will have the opportunity to influence and develop the administration's case handling and contribute to improvements that make a difference. Here, there is room to grow, both in the role and through continuous competence development. We value work-life balance and offer a secure working environment with collegial support, flexibility, and the opportunity to shape future ways of working together with us.
Who You Are
You have a university degree in political science, law, or other relevant education that the employer deems equivalent. You have several years of experience working in a politically governed organization where you have independently handled cases within public administration.
Other requirements for the position:
- You have experience formulating and ensuring the quality of decision materials and minutes for political bodies at a general level.
- You express yourself well in Swedish, both orally and in writing.
We consider the following to be meritorious:
- Experience working as a Council Secretary or Municipal Secretary.
- Experience developing routines or templates for case handling.
- Experience working in digital case handling systems, such as Public 360.
As a Council Secretary, you are collaborative and relationship-building, and thrive in a role with many contact points. Through clear communication and professional conduct, you build trust and create good relationships with both politicians and civil servants. You are happy to share knowledge and contribute to a culture where collaboration and trust are the foundation for well-founded and transparent decision-making processes.
The role also requires a structured and solution-oriented approach. You plan and prioritize tasks with a focus on quality and accuracy, while seeing opportunities to simplify and improve routines. By keeping order in complex processes and finding practical solutions, you contribute to efficient and legally secure case handling.
