The Swedish Adult Education Association (Medborgarskolan) is one of Sweden's eight adult education associations. We have offices across the country, with approximately 70 local branches. The organization consists of seven non-profit associations – a national organization and six regions – which are independent legal entities with full responsibility for their own activities within adult education, assignments, and schools. We offer adult education both independently and in collaboration with associations and other partners.
Medborgarskolan Mitt covers the counties of Värmland, Örebro, Västmanland, Uppsala, Södermanland, Gävleborg, and Dalarna. The region has 9 local offices, several music houses, approximately 65 employees, and around 750 course and circle leaders. We also operate Kullerbyttan Preschool in Säffle, Ekeby School in Sunne, Karlstad Global Gymnasium, and Dansskolan Entré. National support functions are located at the federation's headquarters in Uppsala.
Chief of Staff for Medborgarskolan Mitt
Medborgarskolan Mitt is seeking a Chief of Staff for a newly established staff function. The staff team comprises 10 employees covering finance, quality, communication, marketing, administration, as well as property and facilities.
The position is based in Örebro, where Region Mitt is headquartered. The staff members are located in various places, geographically spread across the region.
You will report to the Regional Director and be part of the management group.
About the Role
As Chief of Staff, you have overall responsibility for leading, coordinating, and developing the staff's work and the region's decision implementation. You are responsible for coordinating and developing Medborgarskolan Mitt's processes together with the unit's employees. You ensure efficient processes and actively contribute to developing the organization's support functions in several key areas. You are responsible for the region's financial management and, together with the controller, prepare decision and investment materials that ensure cost-effectiveness and business-oriented decisions in line with the board's directives and current guidelines. You present ideas and information in a concise and understandable manner.
The role involves close collaboration with the Regional Director and serves as a crucial link in the organization, between management and operations, with a focus on execution, structure, and development.
Main Responsibilities
- Lead, coordinate, and develop the staff's work in administration, marketing, communication, and quality.
- Ensure efficient processes for planning, follow-up, and operational management.
- Be responsible for property management and facility development/optimization. Handle lease agreements and rent negotiations, and have overall responsibility for qualitative progress in operations, maintenance, and facility supply.
- Have overall responsibility for the region's contracts and contract management, including administration and coordination, contract drafting and review, as well as negotiation and renegotiation.
- Prepare decision materials for the board in collaboration with the Regional Director and employees.
- Be responsible for environmental scanning within the area of responsibility and disseminate relevant information in an accessible manner throughout the organization.
- Collaborate with the federation's headquarters on administrative matters.
- Be responsible for contacts and dialogue with external parties.
- Have personnel and budget responsibility for the staff.
Qualifications
- A university degree, for example as a Master of Science in Engineering (Civil Engineer) or in real estate economics, or equivalent.
- Several years of experience in personnel management and leadership with personnel responsibility.
- Senior-level financial and analytical competence, with experience in budget and profit/loss responsibility.
- Experience in project and change management in complex organizations.
- Documented experience in property management and facility development, as well as experience in property, contract, and procurement matters.
- Documented experience in business development and successful work on profitability initiatives/projects.
- Documented experience in driving systematic quality work.
- Documented and broad knowledge of administrative and operational support processes such as planning, follow-up, finance, communication, and administration.
- Very good ability to express yourself in Swedish, both orally and in writing.

You are accustomed to working against deadlines and working efficiently during intensive periods.
Advantageous Qualifications
Experience from:
- Organizations of similar size/structure.
- Business law, rental law, and procurement.
- Adult education associations or other non-profit activities.
- Commercial operations and publicly funded activities, as well as work with grant funding.
Other Information

The position is a permanent full-time employment, with immediate start, according to the applicable collective agreement.
