About SciLifeLab
SciLifeLab is Sweden's national centre for molecular biosciences, enabling cutting-edge research with strong societal impact in health and the environment. We have a mandate from the government and operate as a non-profit collaboration between the founding universities KTH, KI, SU, and UU, with operations at most other universities in Sweden. Job Description
We are now looking for an Administrative Coordinator for SciLifeLab Operations Office, responsible for conference operations, administration, and support to the business. The role is varied and suits you who thrive with many contact surfaces, creating functional working methods, and getting things done in practice. The role is dynamic and may change with SciLifeLab's development as a national resource, and tasks may therefore change or be added.
The position is located within the department working with management and operational support for SciLifeLab's national mandate (Operations Office), with staff in Solna and Uppsala. You will be part of a team with engaged colleagues and an open working climate, with opportunities to influence and develop working methods and routines. The operations are dynamic with a high pace and great variation in tasks.
The position is based at KTH with the workplace at SciLifeLab Campus Solna.
Main Responsibilities:
Responsibility for the Conference Department at Campus Solna
- Responsible for booking conference rooms and planning meetings and events.
- Develop and maintain routines.
- Coordinate with internal functions such as reception, building management, and Campus support.
- Handle follow-up and participate in the development of facilities and technology.
Event and Visitor Support
- Planning and execution of scientific meetings and conferences.
- Book venues, catering, travel, and accommodation.
- Handle participant registration and practical event administration, including web.
- Visitor coordination, including documentation.
Administrative Support
- Handling of orders, purchases, and procurement.
- Create and follow up on administrative processes.
Qualifications
Requirements
- University education, preferably within one of SciLifeLab's areas of operation.
- Experience working with events and conferences.
- Experience in project management, coordination, or a similar role that the employer deems relevant.
- Ability to express yourself fluently in Swedish and English, both orally and in writing, as this is required in daily work.
