About the Department

The support services for Mathematical Sciences are shared between Chalmers and the University of Gothenburg. We interact daily with students, teachers, and other staff, and through our work, we contribute to high-quality education and research in the mathematical sciences.

We are approximately fifteen employees working within education administration, HR, finance, communications, library services, facilities management, and IT.

We are now looking for an administrator who will play a key role in the administrative support for our guests and employees.

Job Description

Our department has a substantial international presence and hosts many visiting researchers from all over the world every year. We are looking for an administrator who thrives in a varied role with significant autonomy, many points of contact, and a focus on service, structure, and coordination.

In this role, you are responsible for the administration related to our visiting researchers and work closely with both the operations and colleagues within the support services. You coordinate practical matters before and during visits, book travel and hotels, handle expense reports, and work with SINK applications and other related administration.

You will also provide administrative support to one of our divisions within personnel administration. Duties include, among other things, support in employment matters, onboarding of new employees, and administration in our operational systems.

The work involves many points of contact, both within and outside the university. You collaborate with managers, researchers, teachers, international guests, and other support functions, which requires good teamwork skills, a service-oriented attitude, and professional conduct.

We are looking for you who work in a structured and independent manner, have a good ability to prioritize between parallel tasks, and appreciate providing qualified administrative support in an operationally close environment.

Here, you have good opportunities to plan and structure your work. We work flexibly and offer the possibility of remote work up to two days per week, depending on operational needs.

The role will develop in line with operational needs and may therefore also include other administrative tasks within the support services.

Employment Type

Permanent full-time position. Probationary period may apply.

Qualifications

We are looking for you who have relevant education for the position, preferably at the bachelor's level, or experience that the employer considers equivalent.

You have experience in independent administrative work and are accustomed to working in digital administrative systems. The role requires that you can express yourself well orally and in writing in both Swedish and English.

To succeed in the role, you need to be structured, detail-oriented, and have a good ability to plan and prioritize your work when several processes are ongoing simultaneously. You enjoy taking personal responsibility and have a service-oriented and professional approach to work.

The work involves many points of contact and therefore requires good teamwork skills and a welcoming attitude. We also value that you are proactive and contribute to developing methods and routines within the support services.

It is meritorious if you have experience from universities, colleges, or other public sector operations. Experience with guest administration, personnel administration, travel and expense handling, SINK administration, and work in administrative systems within the university sector is also considered meritorious.

Great importance will be attached to personal suitability.
