Working as a Medical Secretary with Coordinating Responsibilities at WeMind
At WeMind, administrative staff play a key role. For many patients, administration is their first contact with the clinic, and the reception is crucial for the patient to feel seen and welcome.
In this role, you combine administrative tasks with coordinating responsibilities for the administrative team. You work closely with management to create structure, clear working methods, and good collaboration within the team. You will have a central role in coordinating the administrative work at the clinic and supporting the daily workflows.
The administrative tasks are varied and include, among other things, bookings, handling of medical records and referrals, quality work, reporting, and coordination between different professions at the clinic.
The coordinating responsibilities include, among other things:
- Planning and coordination of administrative work
- Introduction and support for new employees
- Coordination of administrative routines and working methods
- Involvement in the development and improvement of administrative processes
- Acting as a contact person for administrative matters towards the various professions in the unit
You also provide support to the unit in matters concerning administration and structure.
Your New Workplace
WeMind Psychiatry in Rinkeby is a psychiatric outpatient clinic with a psychosis clinic and an emergency unit. Approximately 40 people work at the unit, valuing collaboration, knowledge exchange, and a good working environment.

About You
We are looking for you who have experience in administrative work within healthcare, preferably within psychiatry. You are used to working in a structured manner, coordinating tasks, and creating order in daily work.
We would like you to:
- Be trained as a medical secretary or have equivalent experience/training within healthcare
- Have the ability to lead, coordinate, and distribute daily work within the administration
- Have experience with the medical record system Take Care
- Have good knowledge of Office 365
- Be responsible, independent, flexible, and solution-oriented
- Have good collaboration skills and a professional attitude
- Communicate well in Swedish, both orally and in writing
- Have good experience with local IT administration

- Permanent position (probationary period applies)
