About the Division

The Operations Directorate (OPL) is divided into 10 divisions according to NATO structure, comprising divisions J1-J9 and a staff division. J4 is OPL's Logistics Division, currently consisting of three sections – Execution, Planning, and Host Nation Support (HNS) – which support the Chief of the Operations Directorate in the planning, direction, execution, and follow-up of operations and peace-support missions, both within NATO and individually, at both national and international levels.

OPL exercises command over the Swedish Armed Forces' three service branches (Army, Navy, and Air Force), military districts, and the Armed Forces' joint functional units FMLOG and FMTIS. J4's areas of operation and responsibility cover all logistics functions (transport, technical service, supply, other logistics support, and medical care), and the work is conducted in close contact with subordinate units and NATO staffs such as Joint Forces Command Norfolk and Brunssum.

J4 is in an expansion phase where we plan to expand our operational scope over the coming year with two additional functions – Joint Medical (JMED) and Joint Engineering (JENG).

Main Responsibilities

The role of Staff Assistant at J4 is a crucial part of the work that contributes to effective information management, which is vital for making the right decisions at the right time. As a Staff Assistant, you will provide hands-on and administrative support to the entire division, working in close contact with other divisions within OPL. Handling incoming and outgoing information across various command systems and administrative support systems will be part of your daily work. Additionally, you will participate in preparations, documentation, and follow-up of activities within the division.

As a Staff Assistant, you maintain a holistic perspective and are involved in the preparation, execution, and follow-up of work meetings and briefings. You report directly to the Division Chief and play a role in the division's development. You support the Division Chief and Deputy Chief, as well as the division, with administrative tasks such as drafting correspondence and minutes, bookings, orders, updating collaboration platforms, customer carts, compiling background materials, and other administrative duties relevant to the position.

REQUIREMENTS

Qualifications

  • Completed upper secondary education
  • A current valid military basic training with conscription in the Swedish Armed Forces
  • Good proficiency in spoken and written Swedish and English
  • Good knowledge of MS Office
  • Category B driver's license, manual transmission

Merits

  • Experience in staff work within the Swedish Armed Forces or another voluntary organization
  • Current and relevant experience in an administratively supportive role within a larger organization, preferably a government agency
  • Current experience serving in the Swedish Armed Forces
  • Current and relevant work experience with the Swedish Armed Forces' support systems such as SharePoint, PRIO, Vidar, SWECCIS
  • Previous international military service or service in the voluntary defense
  • Completed platoon commander training
  • Completed staff service training

Other Information

Employment Type: Fixed-term employment for up to 8 years. The employment begins with a 6-month probationary period.

Employment Level: Full-time. Work during evenings, weekends, and travel occurs both within and outside Sweden's borders. The position is not suitable for remote work.

Work Location: Stockholm

Start Date: According to agreement.

The Chief of Defence and the Director General are located at the Headquarters. The Headquarters has approximately 1,000 employees – both professional officers and civilian experts. As of 2023-01-01, the Headquarters consists of the Defence Staff, the Operations Directorate, the Military Intelligence and Security Service, as well as the Headquarters Staff Division and independent oversight units.

Employment with us entails placement in a security classification. Swedish citizenship is usually required. Security clearance with register check will be conducted prior to employment according to Chapter 3 of the Security Protection Act. Employment entails an obligation to be war-placed. The employment also includes an obligation to serve abroad. The meaning of this varies depending on the type of position.
