Change Coordinator at SMHI

Change happens! The question is whether it happens in a controlled manner. At SMHI, we manage changes in an IT environment where timing, risk, and dependencies play a significant role. As a change coordinator in our IT department, you are the one who ensures that everything holds together – from planning to deployment.

About the IT Department and Unit

SMHI is on a modernization journey where the entire authority's infrastructure is being adapted for the future. The IT department at SMHI consists of about 130 employees and is responsible for the entire chain from development to management of both applications and infrastructure.

The role is placed within the IT production unit, which consists of four groups with shared responsibility for SMHI's IT infrastructure, operations, and service. You belong to the Operations group with 14 employees. The group is responsible for production-related tools such as monitoring systems and issue management, as well as for Configuration Management, Change, and Release processes.

SMHI's varied operations imply a broad and complex IT environment where the demands for flexibility, security, and scalability are high – and where well-functioning deployments are crucial to minimize disruptions in SMHI's services.

About the Position

KOPS is the function at SMHI responsible for planning deployments with significant impact or high risks. You will be responsible for this well-established function at SMHI. Together with two other colleagues working in the function, you will work on risk analyses, deployment plans, and communication prior to deployments.

The KOPS function is responsible for managing and further developing SMHI's change process and works closely with other functions within IT and various parts of SMHI's operations. At SMHI, the management teams themselves have a significant responsibility for deployments, which places high demands on a well-functioning change process – here, the KOPS function plays a central role.

KOPS is available to management teams that wish for assistance with coordination. With established routines, experience, and established contacts, KOPS relieves the management teams of planning work so they can focus on execution. During weather warnings, deployment stops are in effect, and KOPS is responsible for handling exemptions.

The work is sometimes intense, and the pace can be erratic. You need to be able to switch contexts several times during a day and be confident in your priorities. Changes are initiated both internally in IT production and by SMHI's operations or external partners. This means you need to have a good network within SMHI and a solid understanding of how production works to analyze and assess the impact on operations.

Alongside the KOPS assignment, it may also be relevant to drive other assignments or projects.

About You

We are looking for someone with a post-secondary education in IT or equivalent work experience. You have good knowledge of Swedish and English, both spoken and written, as well as a basic and broad competence in IT. You have experience working within IT operations in a project or assignment-leading role.

It is advantageous if you have training in leadership or project management and certification in ITIL v3 or ITIL v4 or have otherwise gained a good understanding of ITIL and its processes. Furthermore, we would like you to have experience in designing or following a change process, working with risk analyses, handling tasks that require strong verbal and written communication, experience in change management, or perhaps even knowledge of or experience with SMHI's production and operations.

Your personal qualities and abilities are important for your success and enjoyment in the role. The position demands high levels of structure. You effectively plan, organize, and prioritize your work, set and adhere to deadlines, and ensure that changes are implemented with minimal impact on operations.

You have excellent collaboration skills and are adept at creating and developing good internal relationships, as the work is done in close collaboration with various functions both within and outside the IT department. At the same time, you are self-driven and confident in planning and driving your work forward.

You remain stable even in pressured situations, such as during larger deployments, and have the ability to maintain focus, see the whole picture, and make well-considered priorities. Finally, you are a clear and communicative person who can tailor your message to your audience and choose the right communication channel based on the situation and recipient.
