Committee Secretary at Örebro Municipality

Do you want to help ensure that decisions in Örebro Municipality are made in a legally secure and democratic manner? We are now looking for a committee secretary who will play an important and central role in the municipal decision-making process.

About the Position

As a committee secretary, you will be a key person in supporting and facilitating the work of one of the municipality's committees. You play a crucial role in assisting elected officials and civil servants in the preparation and decision-making process for the committee. As a committee secretary, you will have a versatile role. Before the committee meetings, you will be responsible for preparing and compiling the necessary documents. During the meetings, you will be responsible for accurately and legally documenting and recording the matters and ensuring that all decisions are recorded.

In addition, you will provide advice and guidance regarding the committee's rules and decision-making processes, as well as assist with various administrative tasks such as scheduling meetings. You will primarily work with the Social Committee, but you may also work with any of Örebro Municipality's other committees (a total of 13 committees).

You will be part of the Committee Support Unit, which is part of the Office and Information Management Department. Together with ten other committee secretaries, you will work to provide the best possible support and guidance to both civil servants and elected officials.

Examples of Responsibilities:

  • coordinate and ensure the quality of Örebro Municipality's committee process, including serving as secretary in a municipal committee and preparation forum
  • support elected officials and management in municipal and administrative legal matters as well as in the municipality's governing documents regarding documentation and case management
  • initiate, drive, and participate in the development of processes, systems, and routines related to case processing and committee work
  • independently handle cases and assignments
  • support case handlers in ensuring the quality of documents, presenting cases, and in legislative matters
  • work and document in the existing operational systems

About the Workplace

In the role of committee secretary, you will belong to the Committee Support Unit, which is responsible for coordinating and developing the committee processes within Örebro Municipality. The unit works to ensure a democratic decision-making process characterized by openness, participation, and uniformity. The municipality's election office is also located within the unit. In addition to committee secretaries, there are also municipal secretaries, generalist investigators, and planners working here.

The organization operates in activity-based offices at Åbylunden. We have flexible agreements and offer the possibility of remote work on certain days of the week.

Qualifications

As a committee secretary, you are expected to be secure and professional in your role. You work well with others and have a high sense of service. Since you will often handle multiple processes and cases simultaneously, you need to be able to plan and organize your work effectively with good structure. You must have a very good ability to express yourself in speech and writing in the Swedish language so that you can communicate with colleagues, elected officials, and other stakeholders, as well as document what the organization requires.

We place great emphasis on personal suitability.

Requirements:

  • university degree of 180 credits in political science, law, public administration, social work, or another direction deemed relevant by the employer
  • knowledge of municipal law and administrative law

Meritorious:

  • experience of similar tasks (for example, case management, preparation of decision materials, minute-taking, or coordination)
  • experience in committee administration within the social committee
  • experience working in case and document management systems
