Our client is an authority that manages the national grid for electricity in Sweden. They also conduct research and development projects in many areas to promote new technology. The authority's work impacts society socially, environmentally, and economically, both locally and nationally, but also globally through the authority's supply chains. Job Responsibilities:
We are looking for a structured and self-driven administrator who wants to work closely with managers and contribute to the smooth operation of the organization in daily tasks. The role involves providing administrative support to a departmental manager as well as several section and unit managers.
You will have a central function in the organization where you are responsible for creating structure, coordinating administrative processes, and relieving managers in their daily work. The role entails significant personal responsibility and requires good collaboration skills as well as the ability to prioritize and plan tasks.
The assignment is carried out as a consultancy role where you work in a technically oriented organization and support several different units within the same department.
Before the assignment can commence, a security clearance will be conducted.
As a person, you are attentive, engaged, and possess good collaboration skills. You are structured and capable of working independently while striving to deliver high-quality results.
Calendar management and meeting bookings
Preparation of meeting materials and presentations
Administrative handling of documents and decisions related to consultants and employees
Updating intranet pages
Support during onboarding and offboarding of employees and consultants
Ordering equipment, permissions, and access
Management of vacation lists
Support during introduction programs and internal activities
Purchasing materials, equipment, and services
Simple reporting and compilations
Invoice management and coding
Planning of internal meetings, workshops, and conferences
Booking of venues, technology, and catering
Preparation of agendas and minutes as needed
Administrative support to the department's management team (planning meetings, documenting decisions, and following up on activities)
Updating intranet and presentation materials
Preparation of simpler decision-making materials
Document management in file servers and SharePoint as well as record-keeping
Development and updating of administrative routines
The administrator works closely with the departmental manager and section and unit managers. Regular check-ins occur to plan and follow up on tasks. The role also involves responsibility for raising needs for prioritization and contributing to the effective organization of work.
Requirements for the position:
At least 1 year of post-secondary education in areas such as economics, HR, or administration
At least 5 years of experience in an administrative role with tasks such as:
documentation, follow-up, and reporting
meeting and conference bookings as well as travel bookings
minute-taking
planning of meetings and workshops
onboarding/offboarding of employees and consultants
ordering of IT, office supplies, and services
At least 3 years of experience with MS Office (Excel, Word, PowerPoint, and Outlook)
At least 3 years of experience documenting management group or steering group meetings or equivalent decision-making forums
Meritorious:
At least 3 years of work experience in administration within the public sector, such as state or municipal operations
At least 1 year of work experience with the financial system UBW/Agresso or equivalent
