Administrative Coordinator at DO

DO is a growing authority and is expected to grow further in the coming years as a result of the Swedish implementation of the EU directive on pay transparency.

We are now looking for an administrative coordinator who wants to contribute to the important work of the legal unit. As an administrative coordinator, you will be the administrative hub of the unit.

The Legal Unit

The main task of the legal unit is to supervise compliance with the discrimination law. The supervisory work is primarily carried out by investigating reports of discrimination.

DO also has the right to represent individuals who have been subjected to discrimination. DO's mission also includes representing individuals who have been disadvantaged in violation of, among other things, the parental leave law.

The employees of the legal unit will take an active part in the work of implementing the EU directive on pay transparency, including supervising compliance with the regulations by Swedish employers.

The legal unit currently consists of about 50 employees divided into five sections. The legal sections employ section managers, unit assistants, preparatory investigators, investigators, and litigators. The sections are not specialized but work across all relevant areas of society and grounds for discrimination.

Your Responsibilities

As an administrative coordinator, you will be responsible for coordinating and distributing work within the assistant group and supporting colleagues in their ongoing work. In this role, you may lead meetings within the function and be responsible for scheduling.

Your responsibilities also include ensuring the quality of administrative work and driving the development of the function, for example, by initiating how the function can be improved. The work is largely event-driven.

As part of your assignment, you will also work operationally with case handling tasks. This means that you will handle various administrative tasks regarding the management of cases, such as registering and dispatching reports, decisions, and other documents. Oral and written communication with the public is also an important part of the job.

The position is located in one of the five sections of the legal unit. Your immediate supervisor will be one of the section managers, but you will work broadly across the entire unit. The role of administrative coordinator does not include personnel responsibility.

Requirements

We are looking for someone with:

  • high school diploma or equivalent education
  • at least five years of relevant work experience handling cases or matters at an authority or court, or at least five years of other relevant work experience that DO considers equivalent
  • experience in extracting and compiling statistics
  • experience in coordinating a work group
  • very good knowledge of Swedish in both spoken and written form
  • very good knowledge of Microsoft Office, especially Excel.

You should have the ability to:

  • work in a structured and meticulous manner
  • collaborate and build good relationships
  • be service-oriented, flexible, and unpretentious
  • be solution-oriented and responsive to the needs of the organization
  • switch and prioritize between different tasks
  • independently initiate and drive tasks and development forward
  • act with good judgment and courteousness.

Preferred qualifications:

  • post-secondary studies at university or college level
  • experience working in the case management system Evolution
  • experience handling requests for access to public documents

The position is a permanent employment that begins with a six-month probationary period. Start date according to agreement.
