Mat vid Siljan is now looking for a structured and service-oriented Booking Coordinator for Tegera Arena with a strong focus on food, beverages, and conferences. The role combines administrative tasks with operational work, meaning you will work behind the scenes and be present in the daily operations, especially during major hockey matches. You are often the first point of contact for our customers and are responsible for ensuring that food, conference, and catering assignments are planned, communicated, and executed with the highest quality and guest satisfaction.

Main Responsibilities

• Receive customer inquiries and prepare quotes for conference and catering assignments

• Manage and follow up on food and conference bookings from booking to execution

• Administer bookings of meal boxes and coordinate these with the kitchen and operations, primarily for hockey activities

• Be responsible for customer invoicing and ensure correct documentation

• Send out log links and prepare instructions for our events

• Welcome customers on-site and prepare, coordinate, and follow up on conferences

• If needed, support lunch and dinner service

• Work in the operational operations during matches and events

Your Profile

We are looking for someone who is structured, service-oriented, and enjoys a role with a lot of responsibility and many points of contact. With a calm and solution-oriented approach, you find it easy to plan, prioritize, and keep order even when the pace is high. You enjoy customer contact and are communicative, both verbally and in writing. You are flexible and thrive in a varied role where you combine administrative tasks with operational work in daily operations. You work independently but also appreciate collaboration and contribute to a positive team spirit. Previous experience in booking, administration, conferences, events, or serving is an advantage. Experience with the booking system Tickster is also a plus. Since the role involves daily communication with customers and guests, you must speak and write fluent Swedish and English.

The working hours are varied and adapted to the needs of the business. The work will be scheduled both during office hours on weekdays and evenings and weekends, primarily in connection with matches and events. The role therefore requires good flexibility regarding working hours, as the schedule may vary over time and season. The employment is a permanent position at 100% starting from 1/8-26, possibly earlier by agreement. A probationary period applies. Individual salary setting. Other conditions according to the collective agreement with Vista-Unionen.

About Us

Mat vid Siljan operates an extensive restaurant and catering business in Leksand and Dalarna. During the autumn and winter season, we are present at Tegera Arena, where we are responsible for all restaurants and bars in connection with matches and events and run a lunch restaurant. Year-round, we offer catering for all types of events, and during the summer, we also handle the food for the hockey school at Tegera Arena.

We serve food that has been prepared with both soul and heart. For us, it is important to consider both quality and the environment, and to work with local food producers as much as possible is therefore a given choice. We are passionate about providing the best possible experience and service, regardless of the size of the assignment. The guest is always in focus.
