We are now looking for a dedicated staffing administrator who wants to become part of our team at Falu Municipality's Staffing Unit within the Social Services Department. The mission of the Staffing Unit is to recruit and staff substitutes for the Social Services Department's operations. In this role, you will be responsible for matching the needs of the operations with available personnel with the right skills, from a holistic perspective. You will have a broad responsibility within the areas of staffing, recruitment, and personnel administration.

Responsibilities

As a staffing administrator, your main task will be to ensure that our various operations always have access to competent and reliable substitutes when the need arises. Your primary task is to recruit, mediate, and book substitutes for our operations when regular staff are absent, supported by operational systems.

The work is complex and varied, involving both working according to established recruitment and staffing processes. This means many phone calls with various inquiries while you put together the staffing puzzle based on needs, available substitutes, and labor law regulations. We are a support function and must provide good service to our managers and other personnel in the units. You will therefore be the primary contact point for both candidates, substitutes, and operations, which requires good communication skills and the ability to handle different situations professionally. You are also expected to be active and involved in the development of our operations as we continuously work on improvement efforts.

Qualifications

The following is required for the role:

  • Completed high school education
  • Good ability to express yourself verbally and in writing in Swedish
  • Very good IT literacy and experience working in several digital channels and systems simultaneously
  • According to the employer, relevant documented work experience, for example:
    • Experience in operational staffing, recruitment, and substitute mediation
    • Experience as a coordinator, administrator, or team leader within healthcare and social services
    • Relevant experience in customer relations and/or customer service/support work

As conditions can change rapidly in our operations, it is important that you have the ability to quickly adapt and maintain focus and structure in your work. As a person, you are service-oriented and communicative, with the ability to be clear in conveying information. You are stable, have a supportive approach, and thrive in a dynamic environment with varied workloads.

You possess the ability to drive individual assignments and processes where you act on your own initiative and take responsibility for results. You have the drive and willingness to develop the operations and our working methods, and you dare to think outside the box and test new ideas. It is a small workgroup that therefore requires good collaboration skills while contributing to constructive teamwork where you collectively work towards set goals.

The group dynamics in the workgroup are significant, and therefore, great importance will be placed on personal qualities.

Desirable Qualifications

  • Started or completed academic education in human resources or other education that the employer assesses as equivalent
  • Experience working in a service or support function within the public sector
  • Documented experience working in the Medvind system; it may also be interesting if you have worked in other staffing and personnel administrative systems such as Personec, WinLas, or TimeCare
  • Good knowledge of the Working Hours Act

Employment Conditions

Full-time temporary position until 270401 with immediate start according to agreement; the position includes weekend work as the staffing unit is open every day of the week. Our working hours vary and run according to a rolling schedule during the day.

Interviews may be conducted continuously during the application period.
