Description
In the service department, we have gathered our car pool, internal mail, cleaning, meal services, and our workshop and service group; here you will also find the municipality's furniture pool and central storage.
Here, cleaners, cooks, meal staff, and caretakers work together to deliver good service. The service department has 43 employees who care for and collaborate closely with each other and the municipality's operations.
As an administrator with us, you have a key role in structuring and quality-assuring the resources of the operations. You will work with operational administration.
Main tasks:
- Responsible for the house, act as administrative support during the budget process, billing, and coding invoices during absence.
- Responsible for administering and updating internal item registers. You document and compile materials.
- Logistical planning: Establishment and management of an annual schedule for supervision and maintenance of the operations' assets. You ensure that timelines for service and statutory controls are adhered to through good foresight. Booking inspections and servicing of vehicles may also be a task.
- Statistics and financial reporting: Preparation of monthly summaries and operational statistics. You are responsible for compiling decision-making materials and handling application procedures for external compensations and support.
- Quality follow-up: Conduct periodic inventories in the central storage and follow up and analyze resource consumption and waste to ensure sustainable economics.
- Operational support: Assist with personnel administrative changes and resource planning in schedules. Orders to central storage and to other departments.
- Staffing on-call every 5th week and weekend on-call every 9th week.

Qualifications
We are looking for someone with a high school education in economics, administration, or another area that we deem relevant for the role, or alternatively, you have acquired equivalent knowledge through solid work experience.
You have previous experience in administrative work where accuracy and structure are central. It is strongly meritorious if you have worked in the public sector and have experience handling financial materials, statistics, or simpler budget processes. You possess good knowledge of Excel and have a general technical maturity that allows you to easily understand new operational systems. You have a very good ability to express yourself well in speech and writing in Swedish.
We consider it meritorious if you have experience working with government grant applications.
