Do you want to work closely with top management in a socially important organization with international contacts? Trelleborgs Hamn is now looking for a structured and trustworthy Executive Assistant for a parental leave cover.

About the role

As an Executive Assistant, you will provide qualified administrative and organizational support to the CEO and, to some extent, the management team. The role is broad and responsible and requires high integrity. You contribute to structure, efficiency, and foresight in management-related work and have many internal and external contacts.

The position is full-time based in Trelleborg. The work is mainly performed on-site, and you report to the CEO.

Responsibilities

  • Plan and coordinate the CEO's calendar, meetings, travel, and activities
  • Prepare, compile, and follow up on meeting materials, presentations, and decision documents
  • Take minutes and ensure structure and documentation in management-related processes
  • Be the contact person for the board, management team, internal functions, and external parties
  • Support the CEO in administrative and organizational matters
  • Coordinate internal and external meetings, visits, and representation
  • Contribute to the development of administrative routines and working methods
  • Handle information with high confidentiality and professionalism

About you

We are looking for someone with experience in a similar role, such as Executive Assistant, Management Assistant, or qualified administrator in a complex organization. You are confident in your role, work independently, and have a very good ability to prioritize when the pace is high and conditions can change rapidly.

You are structured, meticulous, and solution-oriented, while also being flexible and unpretentious. You easily build trusting relationships and communicate clearly and professionally.

We are looking for someone who has

  • Several years of experience in qualified administrative work close to management or the CEO
  • Post-secondary education in administration, economics, law, or another relevant field or equivalent experience.
  • Several years of experience working with boards and board processes
  • Very good organizational skills and a proactive approach
  • High integrity and experience handling confidential information
  • Excellent ability to express yourself verbally and in writing in Swedish and English
  • Good system proficiency, especially in Microsoft Office

Experience from public sector or municipal companies is an advantage.
