About the Department/Group

The Department of Research Support provides strategic and operational support in external research funding, strategic initiatives, collaboration, business law, and fundraising. The department consists of about 50 employees and is divided into four groups. We are now looking for an administrative project manager for the Research Funding group. The group is responsible for advising on applications for research grants, handling contractual matters for approved research projects, administrative project management during the implementation of EU projects coordinated by KTH, support for EU economists, as well as export control and research ethics. Our goal is to provide good support to the operations and contribute to KTH's researchers being successful in external research funding. Employees have significant responsibility for their tasks while collaborating both in smaller teams and broadly with other roles within operational support and with KTH's researchers.

Our main workplace is on the Valhallavägen campus.

Job Responsibilities

As an administrative project manager, you will support the academic research leader (PI) in EU projects where KTH is the coordinator. You will act as a link between PI/KTH, the project's external partners, and the funder (EU). You will be administratively responsible for the project regarding contract compliance, project meetings, follow-up, and reporting. Examples of tasks included in the role:

  • Project follow-up such as deliveries according to the project plan, risk management, reports, and deviations from the project plan.
  • Handling and administration of any major changes in the contract.
  • Communication with the EU Commission's Project Officer and dissemination of documents and relevant information to other partners in the consortium.
  • Practical support to the PI and the consortium during reporting (periodic and final reporting), such as developing project-specific templates, collecting and compiling documentation, submitting project reports to the funder, and following up on these after the funder's review.
  • Some support to the project's economist who handles cost reporting, budget follow-up, and incoming/outgoing EU funds.
  • Assistance with planning/scheduling, organization, administration, and implementation of project meetings according to the agreement and the project's other needs (digital, hybrid, and physical), including being helpful during review meetings that occur in connection with periodic reporting.

The work may also include, together with RSO's EU research advisors, advising researchers applying as coordinators of EU collaborative projects, as well as supporting the contracting process after the application is approved in collaboration with EU administrators and lawyers. You will also collaborate with other administrative project managers to develop knowledge, templates, and routines for managing EU projects.

Qualifications

Requirements

  • University or college degree
  • Current and good knowledge of EU's regulations for research funding
  • Current and relevant experience in project management/governance
  • Current and relevant experience from the university and higher education sector, or another relevant employer
  • Good knowledge of the MS Office package (Teams, Excel, Word, PPT) and other digital tools for meetings, such as Zoom
  • Good proficiency in Swedish and English in both speech and writing as this is required in daily work.
