Frivården Södertörn in Huddinge and Frivården Sollentuna are part of the Stockholm County Probation area. The two offices together have approximately 240 full-time equivalents distributed among a probation manager, correctional inspectors, decision support, probation inspectors, correctional officers, and administrators. Both offices are located near bus and commuter train stations. We are now looking for an administrator for a 6-month temporary position at the Huddinge office.

JOB RESPONSIBILITIES

The administration is a service function at the probation office, and you will be part of a team of about seven people responsible for administering client cases, including registering incoming cases, issuing decisions, handling court documents, etc. The work involves following the instructions for administrative work that exist both nationally and locally.

Together with the other administrators, you will drive the operations based on the current assignments. The administration is responsible for archives, diaries, mail handling, orders, some invoice management, and handling the authority's incoming emails. The work also involves being responsible for administrative tasks related to the meetings of the Supervisory Board.

You will also have several external contacts with the Swedish Prison and Probation Service's partners and the public. Therefore, the tasks require that you have knowledge of the principle of public access while ensuring that confidentiality is maintained.

QUALIFICATIONS

The work as an administrator is a service function, which requires you to be service-oriented. For us, this means that you are accommodating in your approach and have the interest, willingness, and ability to help others and ensure that the operations run smoothly. You are calm and secure in yourself and can handle stressful situations well. Furthermore, you have the ability to plan, organize, and prioritize work effectively. You are also flexible and can easily adapt to changing circumstances and see solutions in arising situations. Your ability to collaborate is very good, and you find it easy to build and maintain relationships. We expect you to have good general IT skills and a well-developed administrative ability.

It is important to us that you share the Swedish Prison and Probation Service's fundamental values of a humane view of humanity, respect for the individual, and belief in the human will and ability to develop. You are also aware of and understand how background, culture, and group dynamics affect individuals.

We are looking for someone who has:

• High school diploma
• Good knowledge of the Swedish language in both spoken and written form
• Experience in administrative work from a government agency - at least 2 years
• Good knowledge of the Office suite, specifically Excel

It is a merit if you have:

• Experience in administrative work within the Swedish Prison and Probation Service
• Experience with the KVR and Krita systems
• Experience in diary management and archiving in a government agency
• Experience in calculating sentences
• Experience in administering meetings of the Supervisory Board
• Experience in IT support, e.g., digitizing old systems, orders, etc.
• Experience with financial systems, e.g., Proceedo
• Experience in service-oriented work
