Do you want to play a key role in ensuring a structured and successful start for customer projects? We are now looking for a Transition Coordinator who will be responsible for the initial phase of customer onboarding within our client's projects. The role serves as an important bridge between pre-implementation and project delivery and requires strong organizational skills and good communication.

About the role

As a Transition Coordinator, you will be responsible for ensuring that all preparatory activities, documentation, and account setups are in place before the project is handed over to the project manager and implementation team. You will be the customer's first contact after project validation and ensure that both internal and external stakeholders have the right conditions for an effective project start.

Main responsibilities
  • Customer contact: Initiate contact with the customer after project validation, send welcome communication, and provide relevant onboarding and informational materials.
  • Contract review: Analyze contracts and implementation scope to tailor documentation requirements, communication, and onboarding activities.
  • Handover and preparation meetings: Plan and lead meetings to clarify the customer's preparatory activities, confirm priorities, and answer questions.
  • Document management: Collect, verify, and structure necessary documentation such as account setup forms, file samples, and resource information in shared systems.
  • Internal coordination: Collaborate with integration consultants, support teams, and other internal functions to enable early technical analysis or preparation where possible.
  • Follow-up and reporting: Update onboarding checklists and follow-up documents, flag deviations, and report status to relevant stakeholders.
  • Handover to project delivery: Ensure a smooth and quality-assured handover to the designated project manager and implementation team through complete documentation and clear context.
We are looking for someone who
  • Has excellent communication skills.
  • Can handle multiple onboarding processes simultaneously.
  • Has previous experience in service and is used to handling customers.
  • Has post-secondary education in cognitive science, systems science, or equivalent.
Preferred qualifications
  • Experience as a project manager in customer-facing projects (planning, execution, and closure).
  • Documented ability to lead meetings.
