About the Position
We are looking for a social and service-oriented administrator for the Swedish Higher Education Authority in Stockholm. As an administrator at the Swedish Higher Education Authority, you will play a key role in maintaining an efficient and pleasant office environment while providing administrative support to the organization. You will be responsible for daily operations, handling error reports, and coordinating services with suppliers.
The position includes the following tasks:
- Responsible for daily office operations and the office environment, ensuring that premises, kitchens, meeting rooms, and common areas are functional and well-maintained, including ensuring that printers, AV equipment, and other office technology are working. The role also includes mail handling, receiving visitors, and being the contact person for the external switchboard service.
- Handle error reports and coordinate office-related services through ongoing contact with property managers, suppliers, and service partners, as well as follow up on actions and deliveries.
- Conduct purchases of goods and services within the office and operational area, such as office supplies, consumables, and certain equipment, and follow up on orders, contracts, and deliveries in accordance with applicable regulations, internal governing documents, and the Public Procurement Act (LOU).
- Coordinate and carry out employee welfare activities and arrangements, from planning and administration to practical implementation of events such as Christmas and summer celebrations, conferences, and booking meetings with refreshments.
- Provide administrative support to the organization by preparing, compiling, and administering documentation for routines, decisions, and other operational-related documents. Meeting notes, information on the intranet, and other written tasks may also occur.
- Actively participate in development work, contribute to improvements in the office environment, working methods, and routines, and document processes and work methods.
- Other administrative and practical tasks may occur.
Assignment Period and Scope:
The position as an administrator is a full-time consultancy assignment starting from 2026-02-01 and is expected to last until 2026-06-30.
Requirements for the Position:
- High school diploma or equivalent education
- Very good knowledge of MS Office or equivalent
- At least one (1) year of work experience as an administrator/assistant
- Ability to communicate fluently in Swedish and English, both orally and in writing.
