As a registrar, you will belong to the office and finance unit, which in turn is part of the operational support department within the Health and Social Care Administration. The department acts as the hub of the administration and coordinates and supports the operations to ensure structure, consistency, and smart work processes that put the citizen at the center.

The department works with long-term strategic issues such as digitalization, welfare technology, governance, and follow-up, but is also operationally involved in the daily operations to facilitate for employees. We work together to make it easy to do the right thing, regardless of where one works within the administration.

The office and finance unit consists of nine employees: registrar, administrative secretary, investigator, controllers, accounting economist, and financial administrators. The unit's mission is to coordinate and develop the administration's office and committee work, as well as financial processes.

As a registrar, you will work closely with the administrative secretary and investigator in the unit and be part of a municipality-wide registrar network. The network works both operationally and strategically to ensure a common and consolidated municipal registry.

JOB RESPONSIBILITIES

As a registrar, you will be responsible for the administration's record-keeping, mail handling, and archives. The work includes digital and physical mail handling, as well as qualified tasks within document management.

Examples of job responsibilities:

  • Daily physical and digital mail handling, registration, and record-keeping.
  • Issuing public documents after customary examination
  • Responsible for archive maintenance and ensuring that archives are kept organized in accordance with the document management plan, including disposal, archiving, and systematic maintenance of both digital and physical documents.
  • Coordinate the development of the administration's processing register according to the General Data Protection Regulation (GDPR).
  • Updating procedures and participating in development projects related to the registry.
  • Support and training for employees in the administration regarding document management and public access and confidentiality.
  • Monitoring and closing cases as well as dispatching committee decisions.
  • Replacing the administrative secretary at working committees and committees when necessary.
  • Environmental monitoring and follow-up of changes in document and case management as well as applicable legislation.
  • Some investigative assignments may also be included in the position.

The position requires a high level of security awareness as you will handle a large amount of confidential information, primarily social and health care confidentiality.

QUALIFICATIONS

We are looking for someone who is structured, self-driven, and communicative in both speech and writing. You have experience in document management and working in various IT systems.

Requirements for the position:

  • Relevant education or equivalent knowledge and experience in areas such as archive and document management, public administration, information management, law, or library and information science.
  • Knowledge of public access and confidentiality legislation as well as archive and document management.
  • Ability to work independently, structured, and accurately, as well as to prioritize between different tasks.
  • Good communication skills in speech and writing as well as the ability to collaborate with different professional groups.

Meritorious:

  • Previous experience in registry within municipal, regional, or state operations, preferably in the field of health and social care.
  • Experience working in digital case and document management systems.
  • Experience with case and document management systems such as Platina or Alfresco.
  • Experience in training and supporting colleagues in document management, confidentiality issues, or other administrative processes.
  • Knowledge of the General Data Protection Regulation (GDPR) and its application in public operations.
