Background and Assignment Description
Your assignment consists of contributing to Svenska kraftnät's expansion of new and renewal of existing facilities by primarily procuring consultants from our framework agreements within Technology and IT. Purchases and procurements from other categories may occur.
You are responsible for the entire procurement process from the preparation of request for proposals to contracts, including evaluation of bids. You will have dialogue with both internal clients and external suppliers, and you will also work with contract management and, to some extent, follow-up on purchase orders related to consultancy purchases.
Your role will be to support the project operations with their need for consultancy services. Your responsibility is to guide the clients in our process and ensure that procurements are made correctly according to LUF, the Public Procurement Act within the supply sectors, our governing documents, and framework agreements.
The work is carried out in close collaboration with other employees in the procurement unit GIK – Procurement Consultants, with other procurement colleagues in the department, as well as many parts of the rest of Svenska kraftnät and suppliers.
The assignment requires good competence and understanding of communication and relationship building, as the procurement role involves contact points throughout the organization and with suppliers. We place great importance on your ability to maintain order and work in a structured manner. We also expect you to take a proactive responsibility for the entire procurement process, supporting and driving the procurement process if the organization needs it. All for the most efficient workflow possible.
Within this area of work, we operate in many different systems, so it is crucial that you are quick to learn within systems. You should easily grasp instructions and understand the importance of details in the bigger picture.
Procurements at Svenska kraftnät are conducted according to LUF, the Public Procurement Act within the supply sectors.
Job Responsibilities
This assignment primarily involves procuring consultants from our framework agreements. You are the link between the client's needs and the suppliers' competencies. Based on the clients' needs, you administer the procurements that have been initiated to ensure a quick and qualitative handling according to our processes and in accordance with LUF's regulations. We work digitally with all procurements in ServiceNow (SVEA) and in e-Procurement.
Your job responsibilities include, among other things:
Drafting assignment descriptions for resource consultants and assignment consultants, and requirements together with the client from the organization.
Compiling and reviewing bid forms and then sending the procurement request to framework agreement suppliers via e-procurement.
Answering questions during the bidding period to suppliers and responding to the organization's questions regarding procurements and contracts related to consultants.
Preparing decision-making materials for allocation.
Assigning and establishing contracts and purchase orders and following up with suppliers.
Archiving as well as some management and follow-up of the procurement agreements, which may include extensions, budget increases, index adjustments according to the agreement, etc.
To continuously carry out a smooth and efficient procurement process, you will also have contact with the security unit in certain matters regarding security classification and agreements and status in the process.
Contact with framework agreement suppliers regarding contractual issues.
Supporting the organization in procurement matters.
Working proactively to reduce lead times in the procurement process.
Contributing your expertise to continuously improve Svenska kraftnäts working methods, routines, templates, and processes within procurement-related issues.
Work with master data of consultants as well as some reporting and status updates may occur.
Preliminary Start Date: 2026-03-03
End Date: 2027-03-03
Option: can be extended until 2029-03-03.
Scope: Estimated to be 100 percent.
Location: Svenska kraftnät's office in Sundbyberg. Remote work may occur up to 15-25% of the working time. Should be able to be on-site at least 3 days a week in Sundbyberg with irregular days. It may vary from week to week, and it is important to be responsive and flexible based on the organization's needs.
Security Clearance: Security clearance and background check are required.
