System Administrator for Our Museum Shop

We are looking for a system-savvy administrator to join our team in our museum shop. In this role, you will work on process development and management of our various systems that support the shop's operations. Become one of us!

Role Description and Responsibilities

As an administrator with a focus on systems, you will work broadly to both develop and manage the shop's operational support systems, which include the cash register system, e-commerce platform with associated payment methods, gift card solutions, booking systems, and transport agreements. The shop's operations encompass the stores at the museums in Stockholm and Malmö as well as the webshop. As an administrator with us, you will be part of a team of about ten people consisting of buyers, inventory managers, team leaders, and sales staff. About 15 percent of your working hours will be spent in the shop where you will work as a salesperson.

The shop is part of the Communications Department, and you will report to the shop manager. The work is scheduled from Monday to Sunday and is performed during daytime and evening hours.

Your Responsibilities Include

• System responsibility and administration of the shop's various system solutions for cash and e-commerce
• Digital image processing and working with images for the shop's e-commerce, social media, and newsletters
• Developing the shop's digitization and streamlining work processes
• Administering the webshop's products.

All employees in the shop also staff the shop and/or e-commerce, which includes the following tasks:

• Packing, shipping, and administration of orders
• Tracking and administration of packages with shipping companies
• Customer correspondence regarding e-commerce and its orders
• Sales with associated tasks in the shop.

Who Are You?

We place great importance on your personal qualities. In the role of administrator, you need to be able to solve complex problems that arise when systems communicate with each other. You see opportunities for process development and drive and implement change. You are self-driven and advance your issues independently while also easily building good relationships with colleagues and other stakeholders. You are a skilled communicator both in writing and speaking as many system technical questions land with you. If necessary, you can adapt and be flexible. In your daily work, you are structured and organize your tasks efficiently.

You Also Need to Have

• Several years of experience in administration with a focus on systems
• Knowledge of business systems for retail and e-commerce platforms
• Very good knowledge of Photoshop and InDesign
• Knowledge of modern and contemporary art as well as photography and design
• Good knowledge of M365, particularly Excel
• Good knowledge of Swedish and English in both spoken and written form
• Post-secondary education in a relevant field for the work.

It Is Meritorious If You Have

• Experience with the business systems Megadisc and Winpos
• Experience with e-commerce platforms Abicart and Shopify
• Experience in retail.

Moderna Museet is located on Skeppsholmen in central Stockholm.

Employment Type and Start Date

The employment is temporary at 75% until December 31, 2026. We would like you to start as soon as possible, considering any notice period.
