The IT Development area is primarily responsible for a coordinated, quality-assured, and efficient management of software development for social insurance systems within the Swedish Social Insurance Agency, but also for actively contributing to the entire public sector in these areas. We ensure that we have products and services to support an efficient operation and create collaborations with external stakeholders and partners. We are located in several places in Sweden.

We are now looking for an administrative assistant to our exciting operational area located in Sundsvall.

Documentation, Administration, Communication, and Internal and External Collaboration

As an administrative assistant within the operational area, you will provide administrative support to management teams and contribute to ensuring that the daily operations of the managers run smoothly. The role involves close collaboration with several operations, and in your work, you take your own initiatives for improvement.

In your work, you will handle meeting documentation, coordinate and follow up on activities related to work environment, operational planning, conferences, referrals/preparations, and more. The position also involves work with record-keeping, and you will assist managers in the operational management teams with tasks such as invoice coding, ensuring correct approval, and conducting statistical follow-ups. You will collaborate with and be a contact person for other operations both internally and externally.

We are looking for someone who

  • has a high school diploma or equivalent experience and qualifications
  • has experience working in an administrative function including coordination or operational projects with a focus on high service
  • has experience providing support to managers in larger organizations
  • has experience working with managers at higher management levels
  • has a systematic and meticulous work approach
  • collaborates effectively with others to achieve common goals
  • has good communication skills, both verbal and written
  • acts on their own initiative and takes responsibility for achieving good results
  • is confident and trustworthy, even in stressful situations
  • quickly identifies problems and resolves them in a relevant manner.

It is an advantage if you

  • have experience from the Swedish Social Insurance Agency's operations
  • have a university or college education
  • have good knowledge of the Office suite
  • have experience in written communication
  • have experience in IT operations.

A position, permanent, full-time, with start date by agreement. A probationary period may be applicable. In accordance with the Swedish Social Insurance Agency's security guidelines, background checks will be conducted in this recruitment. For this position, Swedish citizenship is required.
