The Department of Culture and Media Studies is announcing a permanent position as an administrative officer.
The position is part-time at 50% with a start date as soon as possible or by agreement.
The Department of Culture and Media Studies belongs to Umeå University's Faculty of Humanities and has around 70 employees. A unique combination of subject areas makes the department a creative environment at the intersection of art, culture, literature, and media. Most of the employees at the department are teachers. In addition to the department heads, your closest colleagues in your daily work will be the department's study directors, administrative coordinator, communicator, HR coordinator, and administrative officers.
Job Responsibilities
As an administrative officer, you will primarily work with study and financial administration. Ongoing study administration includes, among other things, student registration, grade reporting, exam administration, control and follow-up in Ladok, follow-up and reserve admission in NyA-web, management of learning platforms, as well as administration of course syllabi and course offerings in Ladok. You will also respond to inquiries from students regarding study administration for the department's courses and programs and assist the head of the department and other staff with matters related to study and financial administration.
The financial administration consists of invoice management, review of travel expense claims, purchase orders, price and contract controls, as well as preparation of materials and participation in the establishment of budgets, budget follow-up, and year-end closing.
Other administrative tasks may also occur. For example, this may involve responsibility for the department's diary, administration of the department's doctoral education, inventory and management of the asset register, as well as responsibility for the department's archives.
The role of administrative officer is governed by the needs of the organization and may therefore vary greatly over time.
Qualifications
We are looking for someone who has at least a high school diploma, preferably with a focus on economics or similar. You should have practical experience in financial administration and familiarity with other administrative work. Since the role of administrative officer involves daily contact with both teachers and students, you need to be service-oriented and possess good communication skills. You are attentive, proactive, and enjoy a great variety in your workday. To fit in the role of administrative officer, it is also required that you are used to working in a structured and responsible manner. Furthermore, we see that you, as an applicant, have an easy time shifting focus and are open to taking on new tasks as needed.
Very good knowledge of Swedish and English, both spoken and written, is a requirement for the position. Familiarity with the Office suite is also required.
Meritorious
It is particularly meritorious if you, in addition to work experience in the financial field, also have experience in study administration. It is also meritorious if you have experience working at a university or college. Experience with university administrative systems, especially Ladok, NyA-web, and Raindance, is also meritorious.
Great importance will be placed on personal suitability.
