JOB DESCRIPTION

The administration is a service function where you will be one of five people working broadly with administration. Your primary tasks will involve the processing and registration of client documents such as judgments, decisions, and more.

The administration also handles invoices, archives, diaries, mail management, orders, and incoming emails for the authority. The tasks also include other administrative duties as needed.

The work involves both internal contacts within the prison as well as external contacts where you represent the Swedish Prison and Probation Service to the public and other authorities and organizations. The tasks require you to have a good understanding of the principle of public access while ensuring that confidentiality is maintained.

QUALIFICATIONS

We are looking for someone who enjoys structure! The processing in the work is part of the legal process, and therefore it is required that you are structured, meticulous, and methodical. You are quality-conscious and can make the right priorities in a fast-paced environment. You are self-sufficient and plan and organize your work effectively. Since the role of administrator is a service function, it also requires flexibility and good collaboration skills. You need to have a very good ability to express yourself verbally and in writing, both towards others in the prison and other actors within and outside the authority.

We are looking for someone who has:

• A minimum of a high school diploma, preferably with an administrative or economic focus, or another high school education combined with work experience deemed equivalent.
• Several years of experience in qualified administrative work and good administrative skills.
• Very good ability to express yourself well in spoken and written Swedish.
• Good IT skills, e.g., proficiency in the Office suite.

Meritorious:

• Academic education in public administration, economics, administration, or another relevant field.
• Experience in administrative work within the Swedish Prison and Probation Service, another law enforcement agency, or public administration.
• Experience working in the Swedish Prison and Probation Service's administrative systems, e.g., KVR.
• Several years of documented experience in diary management, archive management, authority email, and handling confidential documents or similar.
• Knowledge of sentence calculation.
• Familiarity with the principle of public access and confidentiality issues.

OTHER

We have high demands on our employees' security and confidentiality awareness. A security check will precede the decision on employment. Certain positions are classified, and a security assessment with a background check will be conducted before a hiring decision is made. For positions with higher security classifications, you must be a Swedish citizen, but you may have a foreign background.
