Reports to: Operations Director / General Manager (for our client)

Job Summary:

We are looking for a reliable and proactive Administration Assistant for our client to support newly assigned employees relocating to Sweden. The role includes hands-on assistance with official documentation, daily life arrangements, and local onboarding. The ideal candidate will have strong knowledge of Swedish administrative procedures and hold a valid Swedish driving license.

Key Responsibilities:
  • Relocation & Onboarding Support:

    • Assist first-time expatriate employees upon arrival in Sweden.
    • Provide comprehensive support in settling-in processes, including housing, transport, communication, and daily needs.
  • Official Documentation Handling:

    • Support employees in applying for a Swedish personal identity number (Personnummer).
    • Accompany employees to open Swedish bank accounts and complete other government registrations.
    • Assist with residence permits and local authority paperwork where applicable.
  • Compliance & Training Coordination:

    • Organize and follow up on SSG safety training and other required certifications.
    • Ensure compliance with local laws and internal onboarding requirements.
  • Daily Logistics & Support:

    • Arrange accommodation, meals, local transportation, and mobile/internet services.
    • Provide continuous support for staff during their stay.
  • Administrative Management:

    • Maintain detailed records of all administrative activities and documents.
    • Coordinate with local service providers, internal teams, and government offices.
    • Provide general administrative support to ensure smooth operations.
Requirements:
  • Bachelor's degree in Business Administration, HR, or related field.
  • Minimum 2 years of relevant experience in administration or relocation support.
  • Valid Swedish driving license (B category) is required.
  • Proficient in English; knowledge of Swedish or Chinese is a plus.
  • Familiarity with Swedish administrative systems (Skatteverket, Migrationsverket, banks, etc.).
  • Strong communication and cross-cultural interpersonal skills.
  • Highly organized, independent, and service-oriented.
