About the Workplace

The City Planning Administration plans, builds, manages, and develops Helsingborg. We want to be smart and brave when we develop our urban environments and green structures into places where people want to be. The Operations and Maintenance department within the City Planning Administration is responsible for streets, parks, natural areas, forests, beaches, street lighting, and the city's vehicles. Together, we are a wonderful team driven by the desire to develop and manage both our organization and our city. We are primarily a client organization with about 40 employees divided into departmental support and two units: Technology and Urban Life, and Park and Street.

In the Technology and Urban Life unit, consisting of 14 dedicated employees, we are now looking for a temporary lease administrator who wants to work with us to make Helsingborg's urban environments functional, sustainable, and vibrant.

Job Responsibilities

As a lease administrator in public outdoor environments, you play a key role in ensuring that the municipality's responsibilities are met when public spaces are temporarily leased for various activities. We use several digital tools, and although most of the tasks are performed on the computer, fieldwork also occurs.

You will also support other administrators in their tasks when there is a lower inflow of lease cases.

Your main responsibilities as a lease administrator will include:

• Advising applicants wishing to utilize municipal land for events, scaffolding, festivals, sports competitions, Christmas markets, and film shoots.
• Managing communication with the police's permit unit through statements and referrals regarding lease agreements.
• Administering incoming reports of illegal use of public spaces and ensuring proper handling in collaboration with other colleagues in the department/administration.
• Reviewing and coding incoming invoices.
• Managing incoming cases in our complaint and feedback system.

Qualifications

We are looking for someone with at least a high school education who has experience working with case management in operational systems and prior experience in public service. You express yourself well in Swedish, both orally and in writing, and have a good ability to collaborate. We also see that you are attentive to the opinions of your surroundings and meet others with an equal and service-oriented approach. Furthermore, you have the ability to work both independently and in a team, and a B driver's license is a requirement. Experience with the case management system Lime is a merit.

In addition to your experience, we place great importance on your personal qualities. You are an organized and meticulous person with an outgoing demeanor who enjoys helping others. Your good ability to collaborate and take initiative means you are happy to take responsibility for coordinating and solving tasks together with others. You easily switch between different tasks and ensure that nothing falls through the cracks. With good IT skills and experience with digital support tools, you work efficiently and professionally. You act with high integrity, handle confidential information in a trustworthy manner, and contribute to a positive community in our department.
