About the position
In the Operations Area (VO) of Care Administration, we gather all the hospital's care administrative resources under the Production Staff. Our operation consists of about 600 medical secretaries, administrators, and executive assistants. Together, we are responsible for ensuring that the daily administrative operations function in the best possible way throughout the hospital.
We now have a planned temporary position and are looking for an administrator / medical secretary for the Medical Unit (ME) Health Professions. ME Health Professions is an operation consisting of about 600 employees. Within the operation, the professions include occupational therapists, dietitians, physiotherapists, social workers, speech therapists, and psychologists.
Your main task will be to support our social workers. The psychosocial work includes assessments, investigations, counseling treatments, and social interventions. We work with both adults and children and their families.
The placement is located in Huddinge, but since there is also a larger operation in Solna, you may also be there if needed.
You will be an important part of the operation and work closely with the health professionals' employees. You will be involved in the health professionals' care administration, where you are part of a team consisting of 20 employees, with meetings regarding your own operational planning. Collaboration occurs with current administrators, and work between the various clinics within health professions happens naturally. You will work independently with tasks within Take Care such as referrals and waiting lists, booking/calling patients, managing schedule templates, permissions, letter templates, and appointment letters.
You need to feel comfortable speaking with patients as you will be responsible for a large number of incoming calls to our clinics. We work with the telephone system TeleQ. The position is a temporary position for 12 months.
We are looking for you who
- Work towards goals and results. You are involved in follow-up and statistics.
- Are a good employee and colleague. You listen, communicate, and resolve conflicts constructively.
- Are outgoing and socially active in professional contexts. You create contacts and maintain relationships.
- Are calm, attentive, and accommodating in your approach. You have an interest, willingness, and ability to help others and strive to deliver solutions. You have your own drive.
- Share Karolinska's vision: “We will cure and relieve tomorrow what no one can cure and relieve today.”

- Good experience working in care administration.
- Good knowledge of both Swedish and English, in both spoken and written form.

- Good IT skills in a Windows environment and Office 365.
Meritorious:
- Experience working with and developing digital tools.
- Experience in project and/or improvement work.
