What will you be working with?
As a Complaint Coordinator, you are responsible for coordinating and driving the handling of customer complaints for our Wood Coatings customers across EMEA. Malmö is our primary production facility within Industrial Coatings Wood, giving the role a key function in the contact between customers and the business.
You follow each case from registration and prioritization to closure, ensuring that investigations are carried out systematically within agreed timeframes. The work involves collecting and analyzing information, reviewing documentation, and working with relevant functions to determine underlying causes. Based on the results, you coordinate corrective and preventive actions, follow up to ensure they are completed, and evaluate whether they have achieved the desired effect.
In this role, you collaborate broadly with departments such as Quality, R&D, Production, Engineering, Supply Chain, and Customer Service. You also provide technical and quality-related input for customer communication and present conclusions, action plans, and status updates to relevant stakeholders.
Your main responsibilities include:
- Registering, prioritizing, and coordinating incoming customer complaints.
- Conducting root cause analysis by gathering facts, reviewing documentation, and engaging the right competencies.
- Coordinating and following up on corrective and preventive actions (CAPA).
- Analyzing trends and recurring deviations to identify long-term improvement opportunities.
- Compiling key performance indicators and reports for business leadership.
- Participating in audits, quality meetings, and business reviews.
- Ensuring that work is conducted in accordance with internal procedures and applicable quality management systems.
The position is full-time and you will be based at our site just outside Malmö. You will report to the Site Quality Manager Paint, Coatings and Resin.

To succeed, you must be able to create structure in complex issues while moving multiple activities forward across different departments. You are analytical and solution-oriented, have an eye for detail, and can transform large amounts of information into clear conclusions and concrete next steps. Since the role involves many touchpoints, you must also be communicative and confident in explaining results, building consensus, and getting others to contribute towards a common goal.
