Helsingborg School of Culture is in an exciting phase of development, and we are now looking for an administrator who wants to be the central hub for teachers, students, and guardians!

About the workplace

Culture is a key driver in making Helsingborg the most attractive city. Here, an active and visible cultural policy is pursued based on the efforts of cultural institutions, independent cultural practitioners, and civil society. The administration's public operations include Helsingborg Library, Helsingborg Museum, Helsingborg School of Culture, and Dunker Culture House. Together, they are supported by shared staff functions for communication, administration, finance, and HR.

Helsingborg School of Culture has its main operations at Dunker Culture House, but our mission also requires us to be available at other locations in the city. Every week, we meet students aged 6–19 who participate in our courses, training programs, and open activities. Helsingborg School of Culture's mission is to enrich people's lives. Responsibilities

In the role of administrator at Helsingborg School of Culture, you will handle substitute management, instrument lending, and purchasing as a natural part of your daily administrative work. You support teachers with questions regarding our student management system, Speedadmin, coordinate IT-related issues within the operations, and are responsible for coordinating our "try-before-you-buy" days in collaboration with primary schools.

You are responsible for all invoicing beyond student fees, diary registration, and handling cooperation agreements and arrangements with other operations, such as those within the school world. Furthermore, you handle instrument compensation for teachers and provide support in the scheduling and staffing system, Medvind, as needed.

In this role, you serve as an administrative support for both guardians and teachers, contributing to a smooth daily routine. You work closely with coordinators and operations coordinators and are part of the school's administrative team.

Working hours are scheduled during office hours, primarily in the mornings, and cover 4–5 days per week.

Requirements

  • Completed post-secondary education
  • Documented experience in administrative work
  • Experience with diary registration in the public sector
  • Very good ability to communicate in Swedish, both orally and in writing
  • Good digital competence and experience working in various administrative systems

Merits

  • Experience in administrative work within a school of culture or similar operations
  • Experience working in student administrative systems, such as Speedadmin
  • Experience collaborating with school operations or other external actors
