The Business Support Procurement Unit is part of the Procurement Department at the Service Administration. The Procurement Support team works to support and guide employees in the city's organization through the procurement process and procurement system. We are a key part of the city's efforts to increase contract compliance, achieve cost savings, create a more efficient and quality-assured procurement process, and improve opportunities for follow-up and analysis.
The unit currently has 15 employees, and you will join an ambitious support team of four people where delivery, service, and continuous improvement are in focus. Your role
Together with the manager and colleagues in the unit, you are responsible for the procurement support to the city's employees. The role has a clear focus on training, guiding, and providing support within the city's procurement process and procurement system. You will become an important knowledge carrier who contributes to strengthening users' competence and creating conditions for an efficient and quality-assured procurement process.
The tasks include among other things:
- Conducting training for users in the city's procurement system, both digitally and physically
- Providing service to the city's employees on matters concerning procurement, e-commerce, and orders
- Providing guidance and support in the city's procurement process
- Providing operational support in the city's procurement system, tendering system, contract system, and spend analysis tool
- Receiving feedback from users and contributing to the development and improvement of working methods and systems
- Following up and collaborating with contract managers, tenderers, and suppliers as needed
- In consultation with the responsible tenderer, providing guidance on contracts, rules, and policies for procurement
- Being responsible for certain administrative tasks, such as the unit's invoice processing.
Your competence and experience
We are looking for you who have:
- Completed upper secondary education with a focus on administration, service, economics, or other education that the employer deems equivalent
- Current experience of customer support or customer service where you have mainly worked with providing support and guidance via phone, email, and digital channels
- Current experience of conducting training, workshops, or other competence-building initiatives, both digitally and physically
- Very good and current IT skills (Office package and digital tools)
- Very good ability to express yourself well in speech and writing in Swedish.
It is meritorious if you have:
- Experience working in one or more case management systems
- Current experience of the business system Agresso/Unit4 ERP and/or the tendering and contract system Kommers
- Experience of Stockholm City's overarching procurement process and category work.
