Department of Computer and System Sciences

With over 200 employees and 4,500 students, the Department of Computer and System Sciences (DSV) is a strong and dynamic research and educational environment. The subject of computer and system sciences spans technology, humanities, social sciences, and behavioral sciences, with significant relevance for how we live today and in the future. Our research focuses on how IT should be designed to be useful for people, organizations, and entire societies.

If you thrive handling various tasks in a broad role, you will fit well into our team within the department's central administration, which consists of 13 employees including the administrative manager.

Responsibilities

You will work together with the department's technical staff and be responsible for a broad spectrum of practical and service-oriented facilities management tasks. The main areas of responsibility include:

  • Goods and mail handling
  • Purchasing
  • Furnishing and adapting premises
  • Practical support during doctoral defenses and other academic events
  • Supervision of certain technical equipment and premises
  • Handling alarm and access control systems
  • Receiving and following up on fault reports from operations
  • Participating in the introduction of new employees
  • Issuing access cards to employees and students

In addition to practical tasks, administrative and property-related security duties will also be included. Examples of these tasks are:

  • Design, documentation, and implementation of routines for the technical staff's work
  • Developing routines and instructions for safety and fire protection work
  • Maintenance and updating of data registers, such as the access system and electronic key cabinets
  • Administering and distributing keys to staff
  • Participating in occupational health and safety work, e.g., during safety rounds and fire protection activities
  • Responsible for inventory of office and consumable materials

You have a service function towards our students and employees, which requires on-site work. The tasks are dynamic and physically demanding, with heavy lifting occurring.

Qualifications

Requirements

  • Upper secondary school diploma (Gymnasium).
  • Experience in similar tasks involving physical work, service, and administrative duties.
  • Experience in creating and documenting work routines.
  • Good computer skills and experience working in various IT systems, such as case management systems and registers/databases.
  • Experience working with access control systems, e.g., ARX.
  • Experience in issuing access cards and managing permissions.
  • Very good knowledge of the Office suite, primarily Word and Excel.
  • Good knowledge of English and Swedish, both spoken and written.

Merits

  • Experience working in a government agency, preferably a university.
  • Experience and knowledge of fire protection work, occupational health and safety, and physical security.

You have a good ability to collaborate in teams and, together with others, contribute to solving the organization's common goals, with the user's needs in focus. At the same time, you work independently, take initiative, and drive development efforts that strengthen the organization. The role requires a structured approach, even during periods of high tempo and when tasks may arise with short notice. You are unpretentious and ready to contribute wherever needed.

Since the department is large and international, it is required that you feel confident using English in daily work and that you can meet people with different backgrounds and needs in a professional and respectful manner.

About the Position

The position is full-time and fixed-term until 2026-12-31. Stockholm University applies individual salary setting. Start date according to agreement.
