Workplace Description

We are looking for an experienced and structured Conference Administrator to organize an international scientific conference for researchers in the interdisciplinary field of Memory Studies. The conference will gather approximately 1,300 participants from universities, research institutes, and cultural institutions worldwide and is organized in collaboration between the Faculty of Humanities and Theology and the international research association Memory Studies Association. The appointed position is located at the Centre for Languages and Literature (SOL). The appointee will be part of the conference's organizing committee, consisting of several researchers, and will coordinate its work under the leadership of the conference coordinator professor employed at SOL, who is also the president of the Memory Studies Association.

Tasks and Responsibilities

As a Conference Administrator, you will be responsible for the administrative and practical implementation of the conference before, during, and after the event. Duties include, but are not limited to:

  • Coordination of registration and participant services.
  • Updating the conference website and informational materials.
  • Administration of abstracts and the conference program.
  • Communication with keynote speakers, researchers, and partners, as well as contacts with local coordinators, communicators at LU and Lund Municipality, and suppliers.
  • Handling budget documents and invoices.
  • Support for the organizing committee, program committee, and specially invited guests.
  • Planning of social activities and on-site logistics.
  • Reporting to the MSA after the conclusion of the conference.

Qualifications

Requirements for the position are:

  • Experience in administering large international conferences in a university setting.
  • Very good organizational skills and a high level of service orientation.
  • Experience working with digital conference systems and web publishing.
  • Very good proficiency in English, both spoken and written, and the ability to communicate in Swedish.
  • Ability to work independently and handle multiple tasks simultaneously.
  • An academic degree.

Qualifications that are Meritorious

An academic degree in project management, communication, or equivalent experience in organizing conferences at Lund University.

This is a fixed-term employment for approximately 11 months at 80% of full-time, with a start date of October 15, 2026, or as agreed. About the Centre for Languages and Literature (SOL)

The Centre for Languages and Literature (SOL) is Sweden's largest institution focusing on languages, linguistics, literary studies, and area studies. SOL offers approximately 500 standalone courses, complemented by a growing number of degree programs at the undergraduate and advanced levels. With its 36 subjects and around 30 doctoral programs, SOL forms a solid unit with breadth and depth in education and research, distinguished by both national and international visibility. SOL is led by a board where the Dean is the chair. Additionally, there are three Associate Deans with specific operational responsibilities. SOL has approximately 300 employees and 8,000 students, of which about one hundred are doctoral students.
