The Air Force Staff is in an expansive development period where successful executive support is crucial. We are now looking for an Executive Secretary who wants to be part of our development journey and support our leaders.
Main Responsibilities
As an Executive Secretary, you will create flow and logistics around an executive who is constantly on the move. The role requires strong administrative skills, excellent communication skills, and a professional demeanor. You need to be self-reliant, flexible, and able to prioritize when the pace is high. It is also important that you are service-oriented, have high integrity, and good collaboration skills. You work proactively to best anticipate future needs and events and act accordingly, all to ensure that the executives can fulfill their assignments. It is required that you are both detail-oriented and have the ability to see the big picture.
The role also includes:
- Planning and coordinating meetings, travel, conferences, and other gatherings for the management group
- Managing calendars, email, bookings, and certain correspondence
- Preparing materials, minutes, presentations, and reports
- Providing support in contacts with partners and external actors
- Handling invoices, orders, contracts, and other ongoing administration
- Compiling material for reports as well as coordinating, driving, and participating in various types of projects.
REQUIREMENTS
Qualifications
- Completed 3-year upper secondary education
- At least 5 years of relevant and current experience in an administrative and service-oriented role acting as executive support
- Very good knowledge of the Office package
- Very good ability to express yourself in speech and writing, in both Swedish and English
- Valid driver's license (Category B).

MERITORIOUS QUALIFICATIONS
- Experience of similar work in the Swedish Armed Forces or other government agencies
- Experience working in systems VIDAR, PRIO, SWECCIS, EMILIA, and ISUS
- Experience working in document and case management systems in public sector operations
- Knowledge of the Swedish Armed Forces' management system and management processes
- Academic degree relevant to the position.
Other Information
Employment type: Civil permanent employment, starting with a six-month probationary period for applicants not currently employed within the Swedish Armed Forces.
Work hours: Full-time
Location: Uppsala
Start date: October 2026 or as agreed
Salary: Individual salary setting, according to collective agreement.

Information about the Swedish Armed Forces and the recruiting unit: The primary and largest task of the Air Force Staff is to support the Air Force Commander's leadership of all squadrons and schools in the Air Force at all levels of the conflict scale. The Air Force Staff develops, plans, implements, and evaluates orders and directives issued by the Air Force Commander. The Air Force Staff consists of approximately 350 employees. The Air Force organizes and trains air, base, and command units and has the task of monitoring and protecting Swedish airspace. This is a 24/7, year-round mission to ensure Sweden's integrity. Approximately 5,100 employees, both civilian and military, work within the Air Force. The Swedish Armed Forces have a strong value base based on openness, results, and responsibility.
