The Property and Facility Management department is facing many exciting challenges and is looking for you who wants to contribute to making Piteå the best place to live in Sweden. The department has 350 employees and is responsible for the management and operation of the municipality's properties as well as the municipality's combined catering and cleaning operations.

The Property Division ensures strategic space supply, planning, coordination, and changes in the property portfolio. A total of 320,000 m² are managed across 144 objects, where the majority is used by the municipality's core operations. The responsibilities also include daily operations, maintenance, as well as planning and implementation of maintenance and investments in the municipality's properties. The division handles leasing and contract management for premises, housing, and parking. The number of employees in the division is 85.

Job Responsibilities

As an administrator within property operations, you play a central role in coordinating, structuring, and following up on administrative processes related to the municipality's properties. You work closely with technicians, property caretakers, managers, and other functions in the organization.

The work is varied and involves close collaboration with the operational activities where you contribute to creating good conditions for daily work. You are also involved in developing and streamlining working methods and routines.

The position includes among other things:

  • System responsible for our property system DeDu
  • Personnel clerk e.g., plan and coordinate schedules, send out and compile holiday lists
  • Purchasing responsible
  • Vehicle responsible for Operations – tire changes, inspections, service, etc.
  • Work with follow-up, compilation, and analyses in Excel
  • Be an administrative support in daily work
  • Support managers and operations in administrative matters.
  • Contribute to the development and streamlining of routines, processes, and digital working methods

Qualifications

  • You have a relevant education at the upper secondary level for the assignment. Preferably with an administrative or technical focus. Alternatively, work experience that the employer deems equivalent.
  • A requirement for the position is that you have experience of administrative work, preferably within property, operations, or technical activities.
  • You are computer literate and easily adapt to new systems. Good knowledge of Office 365, especially Excel, Word, PowerPoint.
  • You have good teamwork skills and enjoy working with others.
  • You are independent, structured, and take responsibility for your tasks.
  • You are curious and want to contribute to developing and streamlining working methods.
  • You have a service-oriented and solution-oriented approach to work.
  • It is meritorious if you have experience with property systems, especially DeDU, or work related to authority requirements.
  • You thrive in a daily routine where the pace can vary.
  • You can express yourself well in Swedish, both orally and in writing.
  • Requirement of a B-driver's license.

The position is a permanent full-time employment. Probationary period may apply. Start date by agreement.

About the workplace

The department has approx. 350 employees and is responsible for the management of the municipality's properties as well as the municipality's combined catering, cleaning, and caretaker operations.

The Property Division ensures strategic space supply; planning, coordination, and changes in the property portfolio (renovation, extension, and new construction), and is responsible for daily operations, maintenance, as well as planning and implementation of maintenance in the municipality's properties. The division also handles leasing and contract management for premises, housing, and parking. In total, the division manages 255,000 m².

Within our operations organization, 55 employees work. The unit is divided into an outer (e.g., Hortlax, Öjebyn) and an inner (primarily the city center). Professional categories are property caretakers, property technicians - alarms, plumbing, electricity, construction unit with carpenters and painters.

The Property and Facility Management is one of the municipality's seven departments. Our common mission is to create welfare and sustainable societal development. Together with Piteå residents, business life, and associations, we are developing Piteå into an even better place to live, work, and thrive in.
